*This position is on site at our Hartselle, AL location. Travel is required to Huntsville, AL and Athens, AL to do in person onboarding.*
Primary Function: The IT Onboarding Specialist leads the technical and procedural aspects of onboarding new employees across the organization. This position requires a unique blend of IT proficiency, communication excellence, and presentation skills to ensure every new hire is technically equipped and experiences a smooth and professional introduction to our technological environment.
Duties and Responsibilities:
- Coordinate and execute the IT onboarding process for new employees, ensuring timely access to all required systems, devices, and software.
- Deliver live and virtual presentations introducing new hires to IT systems, tools, policies, security practices, and support channels.
- Create and maintain engaging, user-friendly onboarding documentation and presentation materials.
- Administer and support user provisioning and group management in Microsoft Intune, Office 365, Azure Active Directory, and On-Premises Active Directory.
- Configure and deploy devices using ManageEngine MDM, including mobile device setup and policy enforcement.
- Build and maintain standardized Windows desktop images, ensuring compatibility, performance, and security. Automate device deployment where possible.
- Ensure compliance with endpoint security policies, MFA enforcement, and BitLocker encryption.
- Provide Tier 2-level support during onboarding and initial access period.
- Collaborate with HR and department managers to align onboarding timelines and requirements.
- Track onboarding metrics and continuously improve the onboarding experience based on feedback and technology trends.
- Maintain excellent documentation of processes, configurations, and onboarding templates.
- Support offboarding processes as needed, ensuring secure and compliant user and device deprovisioning.
Knowledge, Skills, and Abilities:
- Proficiency in Microsoft Intune administration (app deployment, policy configuration, device management).
- Strong understanding of Office 365 administration (user licensing, Teams, SharePoint, Outlook, OneDrive setup).
- Demonstrated proficiency with ManageEngine MDM for device lifecycle management.
- Understanding of Apple mobile device deployment
- Proficient in system and server administration (Windows Server, Active Directory, user/group permissions).
- Proficiency in creating, updating, and deploying Windows desktop images (Autopilot, or similar).
- Strong understanding of security best practices for endpoints
- Strong presentation and public speaking skills with the ability to clearly explain technical concepts to non-technical audiences.
- Exceptional organizational and time management skills
- Strong interpersonal and collaboration skills; able to work cross-functionally
- Ability to work independently and prioritize tasks in a fast-paced environment.
- A proactive, service-minded attitude with a strong sense of ownership and accountability.
- Ability to manage multiple onboarding timelines and competing priorities
Education and Experience:
- Bachelor’s degree in IT, Computer Science, or related field plus a minimum of three (3) years of experience in IT support OR an equivalent combination of education and experience.
- Experience creating professional slide decks and onboarding collateral using tools like PowerPoint or Canva.
- Experience with onboarding automation tools and workflow creation.
- Familiarity with onboarding metrics, feedback collection, and reporting
- Certifications (preferred but not required):
- Microsoft Certified: Modern Desktop Administrator Associate
- Microsoft 365 Certified: Fundamentals
- CompTIA A+
- CompTIA Security+
- Basic scripting and automation experience (PowerShell preferred) is a plus.
Additional:
- Must possess a valid driver's license and clean driving record
- Must possess required identification for airplane travel. Real ID driver's license or a passport.
Physical Demands:
Duties are performed in an office environment.
- Must be able to remain in a stationary position at least 50% of the time.
- The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
- Constantly operates a computer and other office productivity machinery
- The person in this position frequently communicates with co-workers and clients. Must be able to exchange accurate information.
- Travel anticipated to be up to 20% of the time.
