IT Projects & Systems Manager

Summary Statement

This position will work closely with the President in maintaining and enhancing system interfaces with the ERP system. The position will provide the necessary support within the organization on both hardware and software and work as liaison with our information system vendors. This position plays a critical role in ensuring our systems operate seamlessly to support our mission of delivering on-time, innovative solutions and an exceptional customer experience. By aligning technology with operations, the IT Projects & Systems Manager helps drive efficiency, reliability, and growth across the organization.

Essential Functions:

Systems Management & Support

o Provide hands-on support and oversight for:

o Microsoft 365 environment

• Remote Desktop Services (RDS) environment
• Accounting systems and integrated business platforms
• Security systems and user access controls
• Ensure all core systems are fully integrated and communicating effectively across departments
• Serve as the internal subject matter expert on system functionality and interdependencies

Vendor & Partner Management

• Develop and maintain a strong working relationship with Silverline Solutions, who hosts and supports company systems
• Monitor and manage open tickets with:
• Silverline Solutions
• Bookworks
• Participate in weekly Bookworks Town Hall meetings and track system updates, issues, and enhancements
• Coordinate with additional platforms such as Fleet Panda and Dealer Portal to ensure system alignment

Project Coordination & Execution

• Lead and coordinate IT-related projects across departments, especially Finance and Operations
• Act as the central point of coordination for system upgrades, enhancements, and implementations
• Evaluate system changes and serve as the internal “filter” following upgrades to ensure functionality and user readiness
• Communicate project updates, risks, and outcomes to leadership

Monitoring & Operational Systems

• Develop a working knowledge of remote monitoring systems and tank gauge technologies used to monitor customer product levels
• Ensure data accuracy, system reliability, and communication between monitoring platforms and internal systems

Hardware & Infrastructure

• Oversee hardware lifecycle management, including replacements, upgrades, and inventory tracking
• Coordinate with vendors to ensure timely procurement and deployment of equipment

Reporting & Continuous Improvement

• Provide monthly system and software update reports to leadership
• Identify opportunities to improve system performance, efficiency, and integration
• Support cross-functional initiatives that enhance productivity and customer experience

Supervisory Responsibility

The IT Projects & Systems Manager role has no supervisory responsibilities.

Work Environment

This job operates in a clerical office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, printers/scanners.

Physical Demands

This is a largely sedentary role.

Position Type/Expected Hours of Work

This is a full-time position, hours of work and days are Monday through Friday, 8:00 a.m. to 5 p.m. Additional evening and weekend work may be required as job duties demand.

Travel

Periodic travel to organization facilities, meetings, and training opportunities

Preferred Education and Experience

• Bachelor’s degree in Information Technology or related field
• Proficient in Microsoft Office Products with emphasis on Excel

Pay: $50,000.00 - $60,000.00 per year
