Job Title: IT Sales & Operations Coordinator

The role is for an IT Management Company to be based at the Dubai office. Knowledge of IT Sales - Hardware and ELV is required. This is a full-time role and position required urgently.

Overview

The IT Sales & Operations Coordinator plays a key role in supporting the sales cycle, optimizing operational processes, and ensuring smooth delivery of IT products and services. This position acts as a bridge between sales, technical teams, vendors, and customers to maintain efficient workflow and high service quality.

Key Responsibilities

Sales Support

  • Assist the sales team with quoting, proposals, pricing requests, and order processing.
  • Manage CRM updates, including new leads, pipeline tracking, and forecasting data.
  • Coordinate follow-ups with clients on proposals, renewals, contracts, and outstanding documents.
  • Prepare sales reports, dashboards, and performance metrics for management.

Operations Coordination

  • Oversee the end-to-end order lifecycle: procurement, delivery scheduling, installation coordination, and post-sales support.
  • Liaise with suppliers, distributors, and internal teams to ensure accurate and timely fulfillment of IT hardware, software, and service orders.
  • Track inventory, backorders, warranties, and service agreements.
  • Assist in planning and implementing process improvements to enhance operational efficiency.

Customer & Vendor Communication

  • Serve as a primary point of contact for customer inquiries related to orders, delivery timelines, and service updates.
  • Maintain strong relationships with vendors to negotiate pricing, manage stock, and resolve issues.
  • Coordinate with technical teams for project scheduling, service tickets, and escalation support.

Documentation & Compliance

  • Prepare and maintain documentation such as purchase orders, SOWs, service tickets, and contract files.
  • Ensure all operational activities comply with company policies and vendor requirements.
  • Support audits, renewals, and internal reviews as required.

Required Skills & Qualifications

  • Associate’s or Bachelor’s degree in Business Administration, Information Technology, or related field.
  • 2–5 years of experience in IT sales operations, sales coordination, procurement, or similar roles.
  • Strong understanding of IT products (hardware, software, cloud solutions, networking, etc.).
  • Proficiency in CRM systems (e.g., Salesforce, HubSpot), ERP systems, and MS Office / Google Workspace.
  • Excellent communication, organizational, and multitasking skills.
  • Ability to prioritize tasks in a fast-paced, deadline-driven environment.

Preferred Qualifications

  • Experience working with IT distributors or vendors (Ingram Micro, Tech Data, Microsoft, Cisco, etc.).
  • Familiarity with quoting tools, procurement portals, and ticketing systems.
  • Project coordination or supply-chain experience.
  • Certifications such as CompTIA A+, Sales Ops, or project management credentials are a plus.
