IVF Coordinator

The IVF Coordinator is an integral member of the growing team, with responsibilities in patient care including coordinating IVF cycles and guiding patients through their fertility journey.

Essential Job Functions include:

· Coordinate IVF cycles for patients as directed by practice physicians

· Responsible for ensuring all required labs and procedures are completed and documented

· Document accurately all patient care services in current EMR

· Triage of patient phone calls and other communications

· Provide patient counseling and education

· Ensure quality and accuracy of materials provided to patients

· Communicate physician orders and instructions to patients

· Communicate with patients regarding lab results with clear interpretation and explanation

· Review patient charts for medical issues which may require evaluation before proceeding with IVF cycle

· Communicate with all staff, clinical and administrative to provide high quality patient care

· Develop and maintain professional and effective working relationships with all practice physicians and staff

· Actively demonstrate behaviors associated with problem-solving, multi-tasking, and accountability

· Maintain a safe and clean environment

· Adhere to all processes, SOP’s, state, and federal regulations

· Complete all required trainings as designated

Education and Experience:

· Experience in women’s health and/or fertility (preferred)

Competencies:

· Technical skills (i.e. venipuncture/phlebotomy, injections)

· Proficiency with computer systems including EMRs

· Knowledge of and compliance with insurance requirements (i.e. prior-authorizations)

· Ability to remain calm in stressful situations

· Ability to communicate accurately and concisely

· Adherence to all standards, policies and procedures associated with safety, sanitation, confidentiality, and company operations

Bilingual (Spanish) skills a plus

Position, Licensure and Certification Requirements:·

  • High school diploma required; associate or bachelor’s degree in health sciences, nursing, or related field preferred.
  • Prior experience in fertility, women’s health, OB/GYN, or another outpatient specialty strongly preferred.
  • Knowledge of fertility treatments (e.g., ovulation induction, IUI, IVF, egg freezing) or willingness to learn quickly.
  • Proficiency with electronic medical records and standard office software.
  • Strong organizational skills with the ability to manage multiple patients and timelines simultaneously.
  • Excellent written and verbal communication skills and a compassionate approach to sensitive conversations.
  • Ability to maintain confidentiality and follow HIPAA and clinic policies.
  • Current CPR certification, or acquire within 1 month of employment (required)

·Schedule, Location, and Compensation

  • Status: Full‑time (40 hours/week); some early mornings or occasional weekends may be required based on clinic hours.
  • Location: On‑site at [Fertility Partnership], with potential for hybrid/remote follow‑up coordination depending on clinic needs.
  • Compensation: Competitive salary commensurate with experience, plus benefits (health, dental, vision, paid time off, retirement plan).
