Payroll & Finance Specialist (Union + Multi‑State)

About the Role
We’re looking for an experienced Payroll & Finance Specialist to take ownership of payroll operations, union and multi‑state compliance, client invoicing, and day‑to‑day accounting activities. If you’re detail‑oriented, proactive, and confident managing complex payroll requirements, this is a great opportunity to broaden your finance skills within an international organisation.You’ll work closely with our UK‑based Group Financial Controller and support smooth financial operations across our US entities. Key ResponsibilitiesPayroll Operations
- Process weekly payroll for union and non‑union employees
- Manage multi‑state payroll compliance (tax withholding, SUI/SUTA, reciprocity rules, paid leave programs)
- Configure and maintain Paychex Flex or similar systems (tax profiles, earning codes, union rates, fringes, deductions)
- Validate and import weekly hours; investigate and resolve discrepancies
- Prepare and file payroll tax returns (monthly, quarterly, annual)
- Complete union reporting, fringe submissions, and dues calculations
- Reconcile payroll liabilities and ensure timely remittance
- Prepare annual payroll reports (W‑2, 1099, etc.)
Finance & Accounting
- Prepare customer invoices and assist with AR follow‑up
- Process vendor bills and employee expenses
- Support daily banking tasks and bank reconciliations
- Maintain accurate ledger entries and assist with journals, accruals, and balance sheet reconciliations
- Assist with month‑end schedules and documentation
- Support fixed asset tracking, intercompany activity, and financial reporting
- Assist with labour and project cost tracking
- Contribute to process improvements across payroll and finance
Qualifications (Essential)
- Bachelor’s degree in Accounting, Finance, Business, or related field
- 3+ years of payroll experience (union and multi‑state strongly preferred)
- Proficiency with Paychex Flex or similar payroll systems
- Experience preparing payroll tax filings
- Strong understanding of multi‑state and state paid leave compliance
- Experience preparing client invoices and supporting AR
- Ability to support financial forecasting and basic financial reporting
- Exceptional attention to detail and strong organisational skills
- Ability to work independently
Qualifications (Preferred)
- Union payroll experience
- Progress toward CMA or similar certification
- Experience in renewable energy, engineering, construction, or project‑based industries
- Experience in a multi‑entity or international environment
