JOB PROFILE — HR & ADMIN ASSISTANT (UAE)Experience Required
3–6 Years | SAP Experience Mandatory
1. Position Overview
The HR & Admin Assistant will support day-to-day HR operations, SAP entries, accounts documentation, and overall office administration. This role requires strong SAP SD/Admin module experience, UAE HR knowledge, and the ability to coordinate effectively with the PRO, Head Office (HO), Finance team, and internal departments. The candidate must also ensure HR policies and procedures are aligned with UAE Labour Law and implemented according to company standards.
2. Key Responsibilities
A. HR Responsibilities
- Support recruitment activities: job postings, CV screening, interview scheduling
- Prepare onboarding documents (offer letter, joining forms, ID requests)
- Ensure EID, medical tests, visas and contract processing
- Maintain employee files; track attendance, leave, OT; prepare payroll inputs
- Support WPS payroll processing and prepare HR letters
- Track probation reviews, visa & insurance renewals
- Address employee queries
- Coordinate between HO & UAE office ensuring policy alignment with UAE Labour Law
- Coordinate PRO tasks and support compliance & audits
B. Administration Responsibilities
- Manage daily office operations (cleanliness, pantry, stationery, facilities)
- Arrange travel bookings (flight, hotel, airport transfer)
- Maintain office maintenance schedules and vendor coordination
- Support meetings, events and training logistics
- Manage petty cash, admin invoices, and expense reporting
C. Accounts Documentation + Reconciliation + Bookkeeping
- Assist finance with vendor reconciliation, expense claims, petty cash, PO vs invoice, GRN matching
- Maintain reconciliation logs and trackers
- Record invoices, bills, receipts, delivery notes, vouchers
- Maintain ledgers (Excel/SAP) and support month-end closing
- Prepare cost sheets and expense dashboards
- Maintain accurate financial documentation and audit readiness
D. SAP Responsibilities
- SAP SD: VA21 (create quotations), VA22 (modify), VA01 (convert to sales order), VA25 (reports)
3. Required Skills & Competencies
- SAP SD & SAP HR proficiency
- Accounts reconciliation & bookkeeping basics
- Strong MS Office skills
- Knowledge of UAE Labour Law
- HRMS/document management experience
- Strong communication, organisation, confidentiality, multitasking abilities
4. Qualifications
- Bachelor’s degree in HR / Business Administration / Commerce
- 3–6 years UAE HR & Admin experience
- Minimum 2 years SAP SD + HR module experience
- Accounts documentation & reconciliation experience
- English fluency (Arabic is a plus)
