Job Title: Administrative Logistics Coordinator (Full-Time)

Job Summary

We are seeking a highly organized and detail-oriented Administrative Logistics Coordinator to join our growing team. This role is essential for managing the flow of overseas product receiving and providing critical administrative support to our Purchasing Department. You will support communication between our international suppliers and internal teams, ensuring that inventory data is accurate, new products are properly coded, and vendor relationships are managed professionally.

Key Responsibilities

  • Overseas Product Receiving: Coordinate and track international shipments from origin to arrival, ensuring all customs documentation and receiving logs are completed accurately.
  • Purchasing Department Support: Assist with the creation and management of new product codes (SKUs) in our ERP system and verify that all product specifications are up to date.
  • Inventory Reporting: Pull regular inventory reports and format data into custom spreadsheets (Pivot Tables, VLOOKUPs) to meet specific departmental needs for forecasting and stock management.
  • Vendor Onboarding: Facilitate the onboarding of new vendors, including gathering necessary legal/financial documentation, adding their products to our system, and setting up communication protocols.
  • Communication Management: Act as a central point of contact for internal teams (Sales, Warehouse, Finance) and external partners (Freight Forwarders, Overseas Suppliers) to resolve shipping discrepancies or delays.

Required Skills & Qualifications

  • Experience: 2+ years of experience in logistics, administrative support, or purchasing, specifically involving overseas shipments.
  • Technical Proficiency: Advanced skills in Microsoft Excel (formatting, formulas, and report generation) and experience with ERP or WMS software (e.g., SAP, NetSuite, or similar).
  • Communication: Exceptional written and verbal communication skills for managing multicultural vendor relationships and internal stakeholder updates.
  • Analytical Thinking: Strong ability to interpret data and format reports that provide actionable insights for the purchasing team.
  • Detail Oriented: High level of accuracy in data entry and documentation management to ensure compliance with import regulations.
  • Special Projects: Manage related projects as assigned

Education

  • High School Diploma or GED required; Associate’s or Bachelor’s degree in Business, Logistics, or Supply Chain Management preferred.

Job Type: Full-time

Pay: $58,000.00 - $75,000.00 per year
