Job Title: Front Desk Lead & Clinic Operations Coordinator

Overview
Our functional medicine clinic is not a traditional doctor’s office. We operate on the foundational belief that the body is designed to heal itself when we address the root cause of illness through holistic and functional protocols. We are seeking a high-level Front Desk Lead who does not just want a "receptionist job," but who wants to be a key player in a growing wellness movement.

We are looking for a "big picture" thinker with a meticulous eye for detail with the ability to possess a deep, personal "buy-in" to the holistic health space; understanding that every patient interaction, every scheduled appointment, and every lab order is a vital step in someone’s healing journey; a problem-solver who takes initiative rather than waiting for instructions.

Core Responsibilities

  • Patient Experience & Advocacy: Act as the primary point of contact, ensuring world-class customer service and patient care that goes the extra mile.
  • Clinic Operations: Lead the front-office flow, including high-volume scheduling, answering multi-line phones, and managing clinic inventory, creating employee schedules
  • Technical Execution: Manage lab orders and navigate specific coding requirements for doctors with 100% accuracy.
  • Systems Management: Expertly navigate the Microsoft Office Suite and internal clinic software. Experience with Shopify and basic digital marketing is a significant plus.
  • Integrative Sales: Naturally educate patients on our products and services. You will be expected to learn the "why" behind our protocols to assist in patient education and clinic growth.
  • Critical Thinking: Identify bottlenecks in the clinic’s workflow and propose/implement solutions independently.

Requirements & Qualifications

  • Belief System: A demonstrated passion for root-cause, functional, and holistic health.
  • Professionalism: A consistent positive attitude and a "team-first" mentality.
  • Skill Set: Strong administrative background with an emphasis on accuracy in data entry and money handling.
  • Adaptability: The ability to pivot between administrative tasks, patient care, and simple marketing or tech support as needed.
