POSITION: Judicial Secretary for the Court of Common Pleas
(FLSA Status: Non-Exempt)
REPORTS TO: Judge Molly Metzgar
POSITION OVERVIEW:
The Judge's Secretary performs a variety of secretarial and administrative activities in the operation of the Judge's office in a confidential and professional manner,
EDUCATION / EXPERIENCE:
· High School graduation or equivalent
· At least one year of general secretarial experience
· At least two years of specialized legal secretarial experience
· Any secondary education in the legal field is preferred but not required
· Familiarity with CPCMS is strongly preferred, willingness to learn CPCMS is required
· Shorthand proficiency preferred but not required
KNOWLEDGE, SKILLS & ABILITIES: To perform this job successfully, an individual must have extensive knowledge of court operations, procedures, and protocol.
· Have specialized knowledge of legal terminology, form and citation
· Be organized and able to multi-task despite interruptions and disruptions
· Be able to work under changing conditions and deadlines
· Have good communication skills, both verbally and in written form
· Have exceptional knowledge of basic English, grammar, spelling, and punctuation
· have the ability to type at an acceptable rate
· Have knowledge of and the ability to use a variety of office equipment and word
· processing equipment, including personal computers
· Be able to exercise good judgment and work without close supervision
· Have the ability to handle sensitive matters on a confidential basis
· Possess "people" skills and the ability to serve the public and others with business before the court in a courteous and professional manner
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Specific job duties include the following:
· Screen visitors and incoming telephone calls and answer inquiries or refer them to appropriate personnel
· Open and review incoming correspondence, initiate replies as appropriate, route matters requiring action by others and follow up to ensure actions are completed. Compose and draft routine correspondence, administrative reports, and orders for judge's review and signature
· Operate a variety of office equipment including a personal computer, dictating equipment, photocopiers, calculator and fax machines Establish, organize and maintain judge's research files
· Review and edit documents for accuracy and completeness; ensure drafts of memoranda are circulated to the other judges for review; finalize memoranda, orders and correspondence for signature
· Proofread typed material for correct punctuation, spelling, and grammar Transcribe dictation of orders, memoranda, opinions, decisions, findings, directives, correspondence, administrative reports and other materials
· Entry of information on the Common Pleas Case Management System (CPCMS)
· Maintain Judge's calendar and schedule all hearing and arguments as per current rules
· Maintain Judge's calendar for meetings and appointments
· Prepare hearing notices for Judge's signature and distribution
· Track cases taken under advisement, calendar briefing schedules and other deadlines
· Track cases sent to law clerks and follow up to determine status
· Maintain files and record keeping systems
· Performs related secretarial and administrative duties as required
WORK ENVIRONMENT / PHYSICAL STANDARDS:
While performing the duties of this job, the employee is required to sit, walk, stand, bend and carry light objects or items such as files. The office environment is generally well lit and the noise level is moderate,
There is the possibility of encounters with people, who have become agitated,

Pay: From $33,000.00 per hour
