We are looking for a detail-oriented and highly organized
Junior Administrative Assistant
to support daily operational and administrative processes for a HVAC company based in Florida.
This is an excellent opportunity for an early-career professional looking to grow within a project-driven environment while working with an international team. You will support project coordination, reporting, supplier interactions, procurement-related processes, and documentation management to ensure smooth day-to-day operations.
Responsibilities

Register and manage company participation on tender and procurement platforms;

Support preparation and submission of documentation for tender participation;

Prepare and track mileage reimbursement reports;

Open and manage supplier credit accounts;
-
Prepare reports related to tools and equipment usage;
-
Place and track equipment and supply orders;
-
Assist in maintaining accurate office and project documentation;

Coordinate with vendors and internal team members;
-
Support day-to-day administrative coordination as needed.
Requirements

1–2 years of relevant experience (administrative support, project coordination, procurement, or similar);

Fluent English (written and spoken);

Strong attention to detail and high level of accuracy;

Analytical mindset with ability to work with reports and documentation;

Quick learner who can adapt to new systems and processes;

Strong communication skills;

Proficiency in document management and digital tools (e.g., Google Workspace, Excel, Trello, ChatGPT etc.);

Comfortable working US business hours.
