Person Profile
The Junior Procurement and Inventory Officer provide administrative and operational support for the entire procurement cycle—from sourcing and vendor negotiation to the receipt, storage, equipment, materials, and distribution of supplies. He/she will ensure that all items are accurately tracked, well-organized, ensuring availability of supplies, and implementing efficient storage and tracking systems and readily accessible to support the smooth functioning of our educational environment. He/she should also be collaborative, process-oriented, and comfortable working across departments to meet the evolving needs of staff and students.
Qualifications
- Diploma or Bachelor’s degree in Business Administration, Supply Chain Management, or a related field
- Minimum of 3 years of experience in procurement, inventory, warehouse, or logistics management
- Familiarity with stock tracking systems and software
- Previous experience in a school or educational setting is an advantage

- Be capable of organising storage systems for accessibility and space efficiency
- Be solution-oriented with the ability to identify improvements and cost-saving measures
- Show initiative and flexibility in supporting school-wide needs
- Be dependable, punctual, and able to work independently with minimal supervision
Key Responsibilities:
Procurement & Sourcing
- Sourcing & Quotations: Assist in identifying and evaluating local and international suppliers. Obtain competitive quotations to ensure the best value for money.
- Order Processing: Prepare and process Purchase Orders (POs) and Local Purchase Orders (LPOs) in compliance with school policies.
- Vendor Management: Maintain and update the supplier database, tracking order progress and resolving issues related to delivery or defective goods.
- Market Research: Conduct market surveys to identify new products and trends that could benefit school operations.
Inventory & Store Management
- Stock Monitoring: Regularly monitor inventory levels to prevent shortages or overstocking of essential supplies.
- Receiving & Inspection: Coordinate the receipt of goods, ensuring that items delivered match the purchase orders and quality standards.
- Stock Issuance: Facilitate the delivery of resources to end-users (academic departments, facilities, etc.) and maintain records of all stock movements.
- Audits & Reporting: Participate in periodic inventory counts and audits to ensure no discrepancies between physical stock and system records
