Junior Proposal Coordinator

In this role, you will prepare and write proposal content to ensure all responses meet client requirements and deadlines. You will collaborate with cross‑functional teams to gather information, maintain up‑to‑date proposal templates and documents, and contribute clear, well‑structured written

sections for various proposal types. The position requires extensive writing, including drafting narrative responses, tailoring boilerplate language, and refining technical or operational content for clarity and compliance.

Additionally, you will conduct research on potential clients and industry trends to strengthen proposal messaging, manage timelines to ensure all components are delivered accurately, and participate in proposal reviews to provide feedback for continuous improvement. These responsibilities ensure the Junior Proposal Coordinator plays an active, essential role in producing high‑quality, compelling proposals.

Key Responsibilities

· Prepare, write, type, format, and organize proposal documents and related materials using tools such as Word, Excel, Adobe, and Nitro Pro.

· Keep track of proposal deadlines and make sure everything stays on schedule.

· Review, edit, and clean up written proposal content to ensure clarity, accuracy, consistency, and compliance with all requirements.

· Draft and refine narrative sections, cover letters, and standardized responses as part of the proposal writing process.

· Organize and maintain proposal templates, files, content libraries, and written materials.

· Communicate clearly and professionally with team members and leadership to collect, verify, and confirm necessary information for written responses.

· Track proposal progress and help report on activity and results.

· Learn about current industry trends and customer needs to enhance proposal messaging and overall sales efforts.

· Be comfortable with computer-based writing and typing tasks, learning new software, and working with online systems and file‑sharing tools.

· Use research tools (Google, LinkedIn, company websites, etc.) to gather information on prospective clients, competitors, and industry trends.

· Ensure all written and submitted proposal materials adhere to data privacy, confidentiality, and compliance standards required in the collections and financial services industry.

Education, Experience, Key Proficiencies, & Core Competencies

Education:

Bachelor's degree in Business, Communications, Marketing, or related field.

Experience:

· 0–1+ years of experience in a proposal, administrative, sales support, or similar role preferred (internship experience welcome).

· Strong writing, typing, editing, and proofreading skills with exceptional attention to detail and accuracy.

· Tech‑savvy, with confidence using Microsoft Office (Word, Excel, PowerPoint), Adobe Acrobat, and online collaboration tools such as Microsoft Teams, and SharePoint.

· Quick learner who can easily adapt to new software, platforms, and internal systems.

· Skilled in online research (Google, LinkedIn, company websites) to gather, verify, and incorporate information into proposals.

· Highly organized and dependable, capable of managing multiple tasks and deadlines in a fast‑paced environment.

· Strong communication and follow‑up skills, maintaining a professional and positive attitude in all interactions.

· Curious and growth‑oriented, with a genuine interest in developing within the proposal, writing, or business development field.

· Familiarity with RFP portals, CRM tools, or proposal management software is a plus.

· Experience or exposure to third‑party collections, financial services, or government contracting is a plus.
