Landscape Maintenance Branch Coordinator

***This role is a Full-Time temporary position, with the potential to transition into an ongoing position based on company needs***

We currently have an opportunity as Branch Coordinator for our Landscape division located at our Taunton, MA facility. This is an excellent opportunity for a high-energy and professional individual who can handle numerous and varied responsibilities with exceptional attention to detail.

Under the general supervision of the Operations Manager this position provides broad-based support to facilitate and coordinate reporting within and from the Branch to Corporate.

REMOTE WORK IS NOT AVAILABLE FOR THIS POSITION.

ESSENTIAL ELEMENTS:

Essential Duties and Responsibilities:

· Perform basic bookkeeping activities and update the accounting system.

· Scan, code and establish workflow on all invoices through TimberScan to Corporate AP personnel.

· Maintain documentation and support on credit card purchases and submissions to Corporate for payment.

· Complete and coordinate all check requests.

· Maintain proper controls and documentation on Petty Cash.

· Coordinate and review time submission (systemic or manual), all forms relative to Payroll, ensuring employee time records are accurate and submitted to payroll by established deadline each week.

· Coordinate submission of all HR forms to Corporate, including new hire paperwork and onboarding.

· Coordinate customer surveys/data compiling relative to customer feedback.

· Maintain and update workflow procedures to ensure maximum efficiency, including developing standards and promoting activities that enhance operational procedures for Branch and Coordinator role.

· Partner with HR to maintain office policies and onboarding, as necessary.

· Coordinate with IT department for Branch needs.

· Ensure security, integrity, and confidentiality of data.

· Prepare reports and correspondence required by Management, including the use of SAGE application to generate Accounts Receivable and Accounts Payable related reports for review.

· Compile, track, and update data for key metrics and deliverables to be executed by Branch.

· Execute a variety of administrative duties including answering phones, filing, copying, etc.

· Assist Managers with support tasks.

· Maintain accurate and organized records.

· Manage reports, memos, and correspondence for internal and external purposes.

· Schedule, organize, and coordinate business meetings and conference calls.

· Coordinate office supply replenishment and monitor cost control over office budget.

· Correspond with Account Managers, Production Team, Field Crew, Mechanics, drivers customers, vendors, etc.

· Facilitate/own projects relative to insurance claims.

Education/Experience:

· Degree in Accounting, Finance or Business Administration preferred.

· Three years successful office administration or customer service experience required.

· Knowledge of basic bookkeeping principles and office management systems and procedures.

· Knowledge of MS Office, TimberScan/SAGE, AboutTime and BOSS Software preferred.

· Excellent verbal and written communication and interpersonal skills.

· Prior construction industry experience preferred.

· Organized with the ability to prioritize and multi-task.

· Reliable with patience and professionalism.

· Comfortable dealing with and handling confidential information.

· Proactive, takes initiative, and responds to requests with a sense of urgency both internally and externally.

· Ability to work independently within a team environment.

· Critical thinking capabilities with a focus on detail and accuracy.

· Bilingual (Spanish/Portuguese) a plus.

Pay: From $27.00 per hour
