Job Summary
We are seeking a proactive and organized Landscape Office Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and clients, manage administrative tasks, and support daily office operations. Responsibilities

- Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette.
- Handle scheduling tasks such as calendar management for project timelines, meetings, and appointments using Google Workspace or Microsoft Office tools.
- Perform data entry, filing, and record keeping to maintain accurate project files, invoices, and client information.
- Support office management duties including supply inventory, order processing, and maintaining a clean and organized workspace.
- Assist with bookkeeping tasks using QuickBooks / jobber or similar accounting software to track expenses and invoices.
- Proofread correspondence, proposals, and reports to ensure clarity and accuracy before distribution.
Requirements
- Previous office experience or clerical experience in a professional setting is preferred.
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic data entry capabilities.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Bilingual abilities are a plus for communicating with diverse clients and vendors.
- Demonstrated customer service skills with professionalism in phone etiquette and front desk interactions.
- Familiarity with office management software such as QuickBooks is desirable.
- Strong typing skills with attention to detail for proofreading documents and data entry tasks.
- Personal assistant or medical/dental receptionist experience is advantageous but not required.
