Position Overview:
We are seeking a detailed and organized Billing and Intake Coordinator to join our team. In this role, you will be responsible for overseeing the intake process for new clients, as well as handling billing tasks to ensure accurate and timely invoicing. The ideal candidate will have excellent communication skills, a keen eye for detail, and the ability to manage multiple responsibilities in a fast-paced environment.
Key Responsibilities:
Intake:
- Schedule new client consultations
- Process new client intakes and create case files.
- Communicate with prospective clients to gather initial information and assess their legal needs.
- Coordinate with attorneys and team members to assign appropriate resources and follow up on client documents.
- Ensure that all client data is entered into the firm’s case management system accurately.
Billing:
- Data entry of time sheets.
- Review and reconcile billing discrepancies and adjustments.
- Track client payments and send reminders for retainer replenishments and overdue balances.
- Maintain organized records of billing and payment history.
- Assist attorneys and team members with billing-related inquiries.
Administrative Support:
- Provide general administrative support to attorneys and team members as needed.
- Assist with scheduling and client communication related to billing matters.
- Assist in reporting and maintaining client billing accounts and records.
Qualifications:
- previous experience in billing and intake in a law firm or similar professional services environment is highly preferred.
- Familiarity with TimeSlips legal billing software (or similar billing and case management systems) is also preferred.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
