An experienced personal injury (PI) law firm Office Manager to oversee a very busy firm's daily administrative, financial, and operational workflows. Additionally, you will act as the bridge between legal teams and ownership, managing staff, optimizing case progression, and handling core human resources. The role centers on the following key areas and responsibilities:1. Operations & Case Management
- Workflow Optimization: Monitor case progression and ensure files are moving efficiently through pre-litigation and litigation stages.
- Intake Supervision: Supervise client intake, administrative personnel, and daily front-office operations.
- System Implementation: Evaluate and improve office systems, procedures, and technology integration (e.g., case management software, billing platforms).
- Facilities Management: Maintain the physical office environment, manage equipment leases, and oversee vendor and IT relations.
2. Human Resources & Staff Leadership
- Staff Management: Manage employee performance, workflow delegation, and daily accountability.
- Hiring & Onboarding: Assist management with recruiting, training, and onboarding new legal assistants, paralegals, and administrative staff.
- Culture & Training: Foster a positive work environment, handle conflict resolution, and coordinate staff training for new processes or software.
3. Financial & Accounting
- Billing & Bookkeeping: Support budgeting procedures, coordinate invoicing, and process settlement statements or client distributions.
- Expense Tracking: Monitor law firm costs, maintain operating accounts, and handle payroll.
- Reporting: Track firm Key Performance Indicators (KPIs) and productivity metrics for ownership. [
4. Client Relations
- Customer Service: Maintain high standards for client communication and assist with complex or escalated client inquiries.
- Reputation Management: Ensure the firm's core values and standard of care are consistently delivered to injury victims.
