Law School Recruiting Assistant

Location: Austin, Texas (Hybrid – Eligible for one remote workday per week)
FLSA: Non-Exempt

POSITION SUMMARY:
The Law School Recruiting Assistant plays a vital role in supporting Jackson Walker’s law student recruiting
initiatives. This position assists in coordinating on-campus interview programs, summer associate events, and law school outreach efforts that strengthen the firm’s relationships with students and law schools. Working closely with recruiting professionals, attorneys, and business staff, this role provides essential administrative and logistical support throughout the student hiring cycle.

The Assistant contributes to a positive candidate experience, ensuring all recruiting activities are executed
efficiently, professionally, and in alignment with the firm’s values.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Law School Recruiting

  • Track and maintain candidate information, interview schedules, and reports in the applicant tracking system.
  • Coordinate logistics for law student interview processes, including scheduling, material preparation, and interviewer communication.
  • Assist with law school outreach and recruiting events such as career fairs, receptions, and information sessions.
  • Support the summer associate program, including event planning, work assignment coordination, and follow-up activities.
  • Help plan and execute firmwide summer program events, coordinating vendors, travel, and promotional materials.
  • Prepare promotional and recruiting materials, maintain inventory, and handle shipping as needed.

General

  • Assist with creating social media content and recruiting posts for firm channels.
  • Prepare presentations and graphics for recruiting events and training sessions.
  • Submit expense reimbursements and track recruiting budgets.
  • Perform data entry, filing, and generate reports as requested by the recruiting team.
  • Coordinate with JWVideo, Catering, and office staff to schedule and support recruiting events.
  • Assist with internal team coordination, including team events and meetings.
  • Develop ongoing relationships with attorneys, law school career services, and firm business professionals.
  • Participate in NALP and local recruiting organizations as appropriate.
  • Travel to other JW offices or law schools as needed.

QUALIFICATIONS:

  • Bachelor’s degree or equivalent work experience required.
  • Minimum of 1 year of administrative or recruiting experience preferred, ideally in a law firm or professional services environment.
  • Experience with applicant tracking systems (viDesktop preferred).
  • Proficiency in Microsoft Office 365 – Word, Excel, and PowerPoint.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills with attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Flexibility to work occasional evenings and weekends during peak recruiting seasons.

WORK CONDITIONS:
This position operates in a typical professional office environment with standard equipment. The role requires professionalism, discretion, and the ability to manage multiple priorities while maintaining attention to detail. The position may require occasional overtime during peak recruiting seasons or major firm events.
