Job Summary
Stafast Products, Inc. is seeking a highly organized, proactive, and detail‑driven Executive Assistant to provide comprehensive support to the Director of Operations. The ideal candidate thrives in a fast‑paced environment, is not afraid to handle anything from A–Z, and approaches every task—big or small—with professionalism and ownership. Confidentiality and discretion are essential.
Key Responsibilities
Executive Support
- Maintain and manage a detailed calendar for the Director of Operations, including meetings, appointments, and events.
- Plan and coordinate meeting logistics—conference rooms, resources, materials, and schedules.
- Prepare, confirm, and communicate domestic and international travel itineraries, including flights, lodging, and ground transportation.
Communication & Administrative Tasks
- Draft, send, and manage correspondence including emails, letters, notes, and phone communications on behalf of the Director.
- Assist in creating presentations, reports, and other documents; conduct research and review data as needed.
- Handle incoming requests with professionalism and prioritize urgency appropriately.
Project & Operations Support
- Assist with various projects including event planning, meeting coordination, and the use of project management software.
- Manage and reconcile corporate credit card statements.
- Oversee the company cell phone plan—billing, updates, and device administration.
- Maintain and organize company legal documents, including minutes, contracts, and compliance files.
- Responsible for coordinating and managing schedules for a small team, ensuring accuracy and timely communication.
Personal & General Support (A–Z Responsibilities)
- Assist with personal correspondence and administrative tasks as needed.
- Run errands, manage personal scheduling, and lend support on miscellaneous tasks.
- Tackle day‑to‑day needs such as organizing spaces, taking out the trash, light cleaning, or any small task that helps operations run smoothly.
- Embrace a “no job too big or too small” mindset—supporting however needed to ensure efficiency and success.
Qualifications
- Exceptional organizational skills with the ability to multitask, prioritize, and continually reprioritize as needed.
- High level of confidentiality, integrity, and professionalism.
- Strong Microsoft Office proficiency and demonstrated technical aptitude; willingness to learn new apps and tools.
- Excellent written and verbal communication skills with keen attention to detail and accuracy.
- Strong interpersonal skills and the ability to work collaboratively across teams.
- Resourceful, adaptable, and comfortable working independently with minimal direction.
