Lead Customer Service Administrator

Remote (must reside in Minnesota) · Full-time · $23.00–$29.50/hour

Permanent Choice has been Minnesota’s trusted name in laser hair removal and electrolysis since 1991. We’re hiring a warm, organized, and experienced Lead Customer Service & Clinic Administrator to guide our administrative team, keep projects on track, and be a steady point of contact between our front-line team and Clinic Operations leadership — all while still being a friendly, knowledgeable voice for our clients.

This is a fully remote, full-time role for someone who lives in Minnesota. (Initial training takes place in person at one of our Twin Cities locations, and at times thereafter, then you’ll work from home.)

What you'll do

• Lead the administrative team (of two), providing day-to-day guidance, direction, and support
• Oversee projects and initiatives, keeping them organized, tracked, and completed on time and to standard
• Coordinate workload across the administrative team, distributing tasks and ensuring clear communication and follow-through
• Serve as the point of contact between the administrative team and the Clinic Operations Director, escalating issues and recommending solutions
• Support onboarding, training, and development of administrative team members
• Identify opportunities to improve processes, consistency, and efficiency across the team
• Be a knowledgeable first point of contact for clients by phone, text, and email, and guide them through consultations on hair removal, electrolysis, and broadband light services
• Schedule and manage appointments in our booking system (MyTime)
• Coordinate communication between clients and technicians
• Handle payments, refunds, voids, and receipts accurately
• Fulfill prescription requests and coordinate communication between pharmacy and client
• Follow up with prospective clients and make appointment confirmation calls
• Manage and organize email communications, and help cover phone shifts as needed

What we're looking for

• Prior administrative, customer service, or team lead experience preferred
• Strong leadership, organizational, and team-coordination skills
• A genuine people-person with warm, professional communication skills
• Highly organized, detail-oriented, and able to juggle multiple priorities
• Comfortable on the phone and with email/scheduling software
• Self-motivated and dependable — someone who thrives working independently from home, while keeping a team aligned
• A reliable home workspace and internet connection
• High school diploma or GED
• Must reside in Minnesota

Schedule: Full-time, varying shifts between 7:45 AM and 7:00 PM, with rotating Saturdays

Pay: $23.00–$29.50 per hour, based on experience

Location: Remote — must live in Minnesota. Training conducted in person at a Twin Cities Permanent Choice location.
