Position Summary

The Lead Data Systems & Information Platforms Manager oversees the School’s critical information systems, including internal systems, third-party platforms, and the student information system (SIS). This role ensures smooth system operations, effective integrations, and accurate, secure, and reliable data management across the organization. The manager provides responsive, knowledgeable, and user-friendly support to all members of the Regis community.

This position primarily manages Veracross, the School’s SIS and database management system, and serves as a central operational link between Academics, Admissions, Advancement, Athletics, Auxiliary Programs, Communications, the Business Office, and the Head of School’s Office, ensuring the strategic use of data across all divisions. This person must demonstrate a strong commitment to maintaining confidentiality, integrity, and appropriate use of all data, especially sensitive data, while upholding the highest standards of professionalism and ethical conduct.

This person serves as the primary liaison between Regis and Veracross, overseeing the contract and managing the relationship with Veracross’s customer success team, while proactively identifying new innovations and sharing them with the appropriate departments at the appropriate time. This person needs to be a strong advocate for the school with all things database related including data integrity.

This role requires a strong need to collaborate with the Director of Technology to ensure alignment of all technology across the campus and use of data.

Due to the upcoming departure of the employee who currently holds this position in June of 2026, though not required, Regis strongly prefers a start date as early as possible (i.e. any time from January onward) to ensure thorough training in school systems and protocols, a high-quality handover of responsibilities, and a seamless continuity of service for all constituents.

Key Responsibilities Veracross Administration

  • Serve as the lead system administrator for Veracross across all functional areas.
  • Manage and control user access levels.
  • Configure and maintain the entire database architecture, ensuring high data quality and accuracy.
  • Provide training to faculty, staff, students, and parents, including video tutorials when appropriate.
  • Oversee and update content on all Veracross portals: student, faculty, parent, and board, admissions, new family, and more.
  • Coordinate troubleshooting directly with Veracross and proactively monitor system health.
  • Submit emergency tickets, monitor maintenance updates, and stay abreast with all features offered by Veracross.
  • Create, manage, and roll-over constituent groups used for the School’s external communications in Veracross email channels, Finalsite, etc.

Advancement Support

  • Provide support, as needed, in developing and running queries for mailings, campaigns, donor outreach, grants, and board reporting.
  • Create and manage online giving forms and registration systems for fundraising events.
  • Maintain Parents Association content and provide targeted communications on the parent portal.

Business Office Coordination

  • Reconcile Advancement and General Ledger data quarterly to ensure accurate financial reporting.
  • Support onboarding and documentation processes for employees and new hires.
  • Provide database extracts and reports for yearly audits.

Admissions Support

  • Maintain Veracross enrollment systems, new parent portals, and re-enrollment processes.
  • Partner with the enrollment management team to prepare for the new admissions season. Update the admissions portal with the new enrollment contract, including preparing the calendar for all admissions events, shadow days, visits and open houses.

Communications Support

  • Serve as an emergency communications back-up for the Communications Office by setting up webpage pop-ups, sending Axiom emails, IRIS Emergency Alert System, and Raptor.
  • Support data transfer of constituent groups from Veracross to systems including IRIS, Finalsite, Raptor, Vidigami, and other digital platforms over the summer and maintain throughout the school year.
  • Provide calendar and email drafting support within Veracross as needed.
  • Coordinate with Communications Office for graphics and documents used on the portals
  • Collaborate and check-in with Communications Office to ensure continuity between Veracross email channels, systems, forms, calendars, etc.
  • Serve as an emergency communications back-up for the Communications Office by setting up webpage pop-ups, sending Axiom emails, IRIS Emergency Alert System, and Raptor.

Academic, Divisional, and Registrar Support

  • Assist with the set up and maintain transcripts, schedules, report cards, and academic calendars.
  • Manage attendance tracking, teacher websites, and related workflows.
  • Support online registration for high school test prep, field trips, and special programs.
  • Organize and manage parent-teacher conference scheduling across divisions.
  • Provide additional support to the Registrar for data integrity and reporting.

Board & Head of School Support

  • Maintain the Board of Trustees portal and ensure timely updates.
  • Create a form to collect Board member conflict of interest notices to be used by the Executive Assistant to the Head of School.
  • Maintain storage of Board Minutes.
  • Build and manage online onboarding and event registration tools.
  • Through the assistance and coordination of the Head of School, annually coordinate the updates of all Handbooks (Parent-Student and Faculty-Saff) and submit an approved and edited draft (per the Branding Guidelines) to the Communications Office to upload to website.
  • Ensure all faculty and staff sign the handbook annually.

Auxiliary Programs Support

  • Manage all Veracross programming and registration systems for Auxiliary Programs for fall and spring extended day care and summer camps.
  • Configure unique constituent distribution groups for Auxiliary Programs to communicate with parents.

Athletics Support

  • Maintain the Veracross athletics calendars.
  • Create payment and registration forms for all athletic offerings throughout the year.

Magnus Health Administration

  • Complete annual Magnus setup and rollover.
  • Collaborate with the School Nurse and Counselor to support health record management.
  • Send out communications to newly enrolled families as needed regarding Magnus.

Qualifications & Competencies Required:

  • Bachelor’s degree preferably in Information Systems, Data/Database Management, or related field
  • Exceptional analytical and technical skills
  • High attention to detail and accuracy
  • Strict confidentiality handling sensitive data
  • Strong communication and training skills
  • Ability to manage time-sensitive, high‑priority tasks while remaining flexible and with urgency to resolve issues.

Preferred:

  • Expertise with Veracross and Magnus
  • Experience in an independent or Catholic school
  • Background in registrar or advancement services
  • Experience with Finalsite
