Child and Family Guidance is recruiting (3) Team Lead Health Services Specialists to provide lead supervision, ensure delivery of quality and cost-effective customer service by Health Service Specialists for the North Texas clinics.
Job Summary:
- Supervision of Health Services Specialist to assigned clinics.
- Provides leadership assuring quality, cost effective and appropriate customer service are being delivered.
- Conducts training for new HSS and current HSS staff during the employee orientation period and ongoing training promoting customer service and professional development.
- Ensures that all department responsibilities are completed with assigned time frames and KPI (key performance indicators) are met.
- Manages clinic callouts and ensures HSS coverage at all clinics during business hours.
- Train and monitor HSS staff in answering inbound phone calls per company procedure and complete outbound phone calls per assigned duties, for example reminder phone calls and scheduling patient phone calls.
- Train and monitor HSS staff in assisting and verifying insurance benefit coverage to include co-pays, deductibles and co-insurance. Ensures accurate activations of plans and programs and records special notations in patient account software; assists patient with registration. To be completed at patient check in or prior to patient appointment.
- Assists and performs new patient registration, updates patient information, data entry of demographics, any other required information.
- Assists and conducts eligibility screening on patients for various programs available throughout the Center, including predetermination. Refers patients who do not have insurance coverage to QMHP for assistance with application completion for special funded programs. Performs follow-up eligibility process to include contacting patients for additional information and contacting the funding source for eligibility status.
- Assists and prepares for next day clinic session to include reviewing and confirming appointments, noting alerts for payments and balances, obtaining current insurance information, obtaining referrals updating proof of income, pre-registering patients, and screening patients for program eligibility.
- Regularly monitors and ensures assigned providers' schedules are filled at capacity via walk-ins and call reminders to patients with next day appointments by 10:00 AM daily.
- Conducts routine maintenance on requisitions and schedules.
- Processes patient payments, ensures payments are applied correctly in patient accounts. Completes end-of-day reconciliation report; ensures that credit card payments are reconciled with practice management report. Submission of collection reports are submitted to accounting or designee at the end of each workday.
- Supervises the general waiting area, ensuring member check-in process is efficient, and reporting problems or irregularities to appropriate authorities.
- Performs patient dismissal to include scheduling of follow up appointments and collects remainder of patient portion of current charges.
- Monitor the clinic’s nightly closure process to ensure all patients have been dismissed from building. LHSS or Regional Director will remain on site until last patient has been dismissed.
- Train staff in recording patient vitals in electronic health records system.
- Train all HSS staff and monitor the processes of medical records requests from patients and third parties.
- Ensures adequate office supplies or equipment are available on site. Responsible for office supplies and equipment orders.
- Ensures the protection and security of a consumer’s personal, confidential and identifiable information in a professional and responsible manner, according to the standards and requirements of the Health Insurance Portability and Accountability Act (HIPAA).
Knowledge:
- Provides exceptional internal and external customer service.

Education & Experience:
- Perform job responsibilities without violating ethical, state or federal codes and
- High school diploma or equivalent
- Minium of 5 years’ experience working at a medical office, clinic or hospital setting.
- Minium of 3 years supervisory experience in a medical office, clinic or hospital setting.
- Knowledge of insurance verification and patient registration processes.
- Knowledge of office equipment- facsimile, scanner and phone system
- Some college preferred.
- Bilingual
