About the Role

This role is about speed, urgency and attention to detail. This role sits at the intersection of marketing, intake and sales -- and plays a direct role in how many clients the firm ultimately signs.

The Lead Management Coordinator is responsible for ensuring no lead is missed and every potential client is contacted quickly. This person monitors incoming calls and marketing leads, ensures rapid follow-up, tracks intake data and helps convert leads into scheduled appointments.

This is a high-urgency, detail-driven role that directly impacts firm growth and client experience.

Primary Responsibilites

Lead Response Monitoring

  • Monitor all incoming phone calls
  • Ensure all new leads are contacted within 10 minutes
  • Ensure missed calls are returned within 10 minutes
  • Monitor all marketing leads (website, forms, LSA, referrals, etc.)
  • Ensure every lead is assigned and actively being worked
  • Flag and escalate any delays in response time

Lead Tracking and Reporting

  • Track all intake leads daily
  • Maintain accurate intake tracking reports
  • Track key data points including: Total Leads, Lead Source and Scheduled Appointments
  • Prepare and maintain daily and weekly intake reports

Follow-Up and Scheduling

  • Conduct follow-up calls with Potential New Clients (PNCs)
  • Work to convert leads into scheduled appointments
  • Re-engage leads in active follow-up campaigns
  • Reschedule no-shows
  • Reach out to current clients to schedule Estate Plan Update Appointments
  • Track and report follow-up outcomes

KPI - Goal

Contact Rate (Follow-Ups) - 75%

Unreached / Follow-Up Needed - <25%

Qualified -> Scheduled - 75%

Show Rate - 90%

What Success Looks like

  • Maintains consistent sub-10-minute response times across all lead channels during business hours
  • Strong conversion from lead -> Scheduled appointment
  • No missed or unworked leads
  • Clean, accurate, and up-to-date intake data
  • Consistent follow-up activity and results
  • KPIs consistently met or exceeded

Key Skills & Qualifications

  • 2–4+ years of experience in sales, intake, or lead conversion roles (required)
  • Experience working in a high-volume, fast-response environment preferred
  • Proven ability to meet or exceed conversion or scheduling KPIs
  • Strong phone communication and interpersonal skills
  • High attention to detail and accuracy
  • Ability to multitask and prioritize effectively
  • Experience with CRM systems such as Go High Level, Salesforce or similar platforms
  • preferred
  • Experience working with a Voice Ai platform preferred
  • Strong experience with Excel or Google Sheets (required) — comfortable tracking lead data, maintaining reports, and using basic formulas (filters, sorting, simple calculations, KPI tracking)
  • Reliable, consistent, and accountable
  • Strong follow-through and persistence

Pay: $26.00 - $30.00 per hour
