Position Summary

The Lead Medical Coordinator provides leadership, coordination, and oversight of all medical services for unaccompanied minors in the organization’s care. This role ensures that youth receive timely, high-quality, trauma-informed, and culturally responsive healthcare in compliance with federal, state, and organizational standards. The Lead Medical Coordinator works collaboratively with healthcare providers, case management, behavioral health, and residential services to promote the physical and emotional well-being of every child.

Key Responsibilities

Medical Coordination & Oversight

  • Lead and supervise the medical coordination team, ensuring efficient and compassionate delivery of healthcare services.
  • Oversee scheduling of medical, dental, vision, and specialty care appointments for all minors in care.
  • Ensure accurate and timely completion of health screenings, immunizations, and documentation per Office of Refugee Resettlement (ORR) and state guidelines.
  • Review and maintain electronic medical records (EMR) for accuracy, confidentiality, and compliance with HIPAA and ORR requirements.
  • Coordinate care transitions for youth being reunified, transferred, or discharged.

Compliance & Quality Assurance

  • Monitor adherence to ORR, state licensing, and internal health protocols.
  • Conduct regular audits of medical charts and documentation to ensure quality and compliance.
  • Participate in program reviews, site visits, and corrective action planning as needed.
  • Develop and implement procedures to improve efficiency, accuracy, and service delivery.

Staff Leadership & Training

  • Supervise, train, and support medical coordinators and medical assistants.
  • Facilitate ongoing professional development for medical staff on topics such as trauma-informed care, infection control, and cultural competency.
  • Serve as the primary liaison between medical staff, program leadership, and external healthcare providers.

Collaboration & Communication

  • Partner with behavioral health, case management, and education departments to provide holistic, youth-centered care.
  • Establish and maintain relationships with community health clinics, hospitals, and specialty providers.
  • Communicate health updates and needs to relevant staff while maintaining confidentiality and compliance.

Emergency Preparedness

  • Support medical response planning for public health emergencies, disease outbreaks, or urgent care needs.
  • Ensure staff are trained in first aid, medication administration, and emergency response procedures.

Qualifications

Education & Experience

  • Registered Nurse (RN) or Nurse Practitioner (NP) required.
  • Minimum 3–5 years of experience in medical coordination, public health, or case management, preferably in a nonprofit or child welfare setting.
  • Prior experience supervising staff and managing healthcare operations strongly preferred.
  • Experience working with immigrant, refugee, or unaccompanied minor populations highly desirable.

Skills & Competencies

  • Strong leadership and team-building skills.
  • Excellent organizational and communication abilities.
  • Knowledge of HIPAA, ORR, and child welfare health regulations.
  • Bilingual (English/Spanish) strongly preferred.

Working Conditions

  • Standard office and residential program environments.
  • Occasional travel to community health providers or other program sites.
  • On-call availability for medical emergencies or urgent consultation.

Job Type: Full-time

Pay: $90,000.00 - $100,000.00 per year
