Job Summary
We are seeking an energetic and detail-oriented Lead Receptionist to oversee the front desk operations and ensure a smooth, welcoming experience for all visitors and callers. This pivotal role combines exceptional customer service with office management responsibilities, including managing multi-line phone systems, coordinating appointments, and supporting administrative functions. The ideal candidate will be a proactive leader with strong organizational skills, bilingual abilities, and a passion for creating a positive office environment. As the Lead Receptionist, you will serve as the first point of contact, uphold professional phone etiquette, and assist with clerical tasks to keep our office running efficiently.

Duties

  • Manage front desk operations, greeting visitors and directing them appropriately
  • Operate multi-line phone systems, answer inquiries promptly, and transfer calls efficiently
  • Provide exceptional customer support and maintain a professional demeanor at all times
  • Oversee calendar management and appointment scheduling using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, proofreading, and maintain accurate records for administrative purposes
  • Support office management tasks such as bookkeeping with QuickBooks and organizing office supplies
  • Assist with clerical responsibilities including typing, document preparation, and maintaining organized files
  • Coordinate with team members to ensure smooth communication flow and timely response to inquiries
  • Support personal assistant duties such as managing calendars, booking meetings, and handling correspondence

Experience

  • Proven experience in front desk or reception roles within an office setting
  • Strong proficiency in computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software
  • Demonstrated ability to handle multi-line phone systems with professionalism and courtesy
  • Bilingual skills are highly preferred to serve diverse client needs effectively
  • Previous clerical or administrative experience is essential for managing documentation and organizational tasks
  • Familiarity with QuickBooks or bookkeeping software is a plus for supporting financial tasks
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Strong customer service background with excellent phone etiquette and interpersonal skills
