Leasing Specialist

The Leasing Specialist plays a vital role in managing the leasing activities and enhancing the resident experience within our apartment community. This position blends expert sales leasing skills with a strong understanding of housing regulations and exceptional customer service. A proactive approach is essential for achieving occupancy goals and ensuring resident satisfaction.

Key responsibilities include conducting engaging property tours, processing rental applications in compliance with Fair Housing laws, and addressing resident inquiries and maintenance requests with professionalism. This role requires independent and collaborative work to support management, contributing to daily property operations, maintaining accurate records, and fostering a welcoming and secure living environment. This on-site position demands strong organizational skills, proactive problem-solving, and a focus on sales and leasing excellence, all while upholding company policies to create a thriving community.

Essential Functions and Responsibilities:

Leasing and Marketing:

  • Welcome and show the community to prospective new residents.
  • Employ professional sales and leasing techniques to secure new leases and renewals.
  • Follow up promptly on all leasing inquiries and leads to maximize occupancy.
  • Conduct property tours and lease available apartments to prospective residents, showcasing the community's features and benefits.
  • Ensure all rental applications are processed in compliance with company procedures and Fair Housing laws.
  • Research and stay informed on housing regulations, including the US Department of Housing and Urban Development guidelines, to ensure compliance and best practices.
  • Participate in outreach marketing activities regularly to obtain prospective residents.
  • Conduct market surveys and shop competitive communities.

Resident Relations and Property Operations:

  • Answer incoming calls and communication from stakeholders (including residents, vendors, associates, supervisors, and prospective residents) in a professional and welcoming manner, ensuring clear communication and proper routing of messages.
  • Serve as a primary point of contact for residents, professionally addressing inquiries, concerns, and maintenance requests.
  • Cordinate with vendors as needed for service orders.
  • Maintain a thorough understanding of community rules, regulations, policies, and procedures.
  • Regularly inspect the condition of the grounds, buildings, and model apartments, reporting any irregularities or maintenance needs to the Property Management.
  • Assist with the coordination of resident/property events.
  • Accept and process rent payments, deposits, and other transactions in accordance with company policies.
  • Uphold the safety, comfort, and privacy of all residents, maintaining a welcoming and secure living environment.

Administrative Tasks:

  • Support Management with tasks such as move-in/move-out paperwork and other clerical duties.
  • Utilize property management software and work order systems to log and track leasing activities and maintenance requests.
  • Perform general office duties, including document preparation, data entry, filing, and other clerical functions, ensuring accurate and organized records.
  • Comply with all employee policies and procedures and Fair Housing laws.
  • Perform all functions as needed and directed by management.

Qualifications and Competencies:

  • Minimum of three years of industry-related experience with a minimum of 2 years leasing experience.
  • Excel in a fast-paced sales and leasing environment.
  • Technologically proficient, with experience using property management software, as well as general office applications such as Google Suite; adaptable to learning new software quickly.
  • Skilled in posting ads on platforms like Zillow, Apartments.com, Craigslist, and similar applications.
  • Experience with RealPage, OneSite, and Lead2Lease software is preferred.
  • Perform accurate basic arithmetic calculations with a calculator or computer application.
  • Ability to clearly communicate in English (speak or hear) verbally and in writing with stakeholders, including residents, vendors, associates, supervisors, and prospective residents.
  • Sensitive to confidential matters, maintaining discretion and integrity in all interactions.
  • Highly organized and detail-oriented, with the ability to efficiently manage multiple tasks and responsibilities.
  • Ability to work independently to complete tasks.

Physical Requirements:

  • Repetitive substantial movements (motions) of the wrists, hands, and/or fingers, such as typing.
  • The employee is required to have close visual acuity to perform activities such as preparing and analyzing data and figures and transcribing and viewing a computer.
  • Ability to lift, push, and pull up to 5 pounds with one hand.
  • Must be able to sit, stand, reach, bend, and stoop for extended periods of time.
  • Ability to walk around the property several times daily (walk up to 3-7 miles per day and climb up to 3 flights of stairs at one time several times daily)

Position Type and Expected Hours of Work:

  • Full-time, On-site position.
  • Required to attend scheduled shifts consistently and punctually.
  • Day shift, days may vary according to business needs.
  • Support the Leasing Office on weekends or events as necessary.

Additional Eligibility Qualifications:

  • Reliable means of transportation with the ability to drive a personal vehicle between properties as needed.
  • Must maintain a valid driver’s license, clean driving record, and current auto insurance.
  • This role is required to pass the following employment screenings: Criminal Background, and Driving Record.
