Job Title: Leave Administrator II

Compensation: $69,000 - $85,000 Annual Salary

The base salary or hourly wage range for this role will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors. About the Role:
The Leave Administrator II supports the organization’s leave and accommodation program by serving as the primary liaison between the third-party leave administrator (TPA) and internal teams. This role ensures smooth communication, escalates issues as needed, and facilitates implementation and ongoing operations of the leave and accommodation program.

While the TPA manages administration of FMLA, ADA, company, state, and disability leaves, this role coordinates internally to ensure alignment, tracks progress, and supports a positive employee experience. Strong problem-solving and communication skills are essential for resolving questions related to leave status, return-to-work, compliance alignment, and system integration.

In addition to leave and accommodation responsibilities, this role provides cross-functional Benefits Administration support, offering Tier 2 escalation assistance and operational coverage during peak cycles to ensure continuity across People Service Center operations.

Responsibilities:
TPA Implementation Support & Leave Program Coordination

Support the implementation and ongoing management of a third-party leave administrator, including testing file feeds, coordinating data transfers, validating case handling workflows, reviewing service level agreements (SLAs), and supporting training and change management for internal stakeholders.
Serve as the primary liaison between the TPA and internal teams. Ensure smooth communication, escalate issues as appropriate, and support the implementation and ongoing operations of FMLA, ADA, state, and company leave programs.

Accommodations Management & Interactive Process

Oversee requests for workplace accommodations under the ADA and similar laws. Lead the interactive process in partnership with managers and employees, documenting steps and ensuring appropriate and timely resolutions.

Return-to-Work Coordination

Facilitate return-to-work coordination following leaves or accommodations. Ensure required documentation is in place and partner with internal stakeholders to support smooth reintegration and compliance.

Guidance & Internal Support

Act as a point of contact for managers, team members, and HR partners regarding leave and accommodation processes. Provide timely updates and escalate complex or sensitive cases to appropriate stakeholders.

Benefits Administration Support (Cross-Functional Backup)

Provide Tier 2 support for escalated health and welfare benefits inquiries, including eligibility, qualifying life events (QLEs), and carrier coordination.
Assist with benefits transaction processing during peak periods, including open enrollment and compliance-related activities.
Support retirement plan administration inquiries and coordinate with vendors as needed.
Partner with Payroll and HRIS to resolve complex benefits-related discrepancies.
Maintain working knowledge of medical, dental, vision, life, disability, and retirement plan provisions.
Provide operational coverage during peak benefits cycles or extended absences within the Benefits function.

Vendor & Process Oversight

Monitor TPA performance and leave data trends, support audits, and recommend process improvements to enhance program efficiency, compliance, and employee experience.

Job Requirements:
Extensive understanding of various leave laws, including but not limited to ADA, FMLA, CFRA, PFL, and other state and local leave regulations.
3–5 years of experience supporting reasonable accommodations, leave, disability, and absence management programs.
Strong attention to detail to accurately track and manage leave requests, durations, and return-to-work processes.
Ability to resolve complex leave-related issues such as eligibility, pay discrepancies, and documentation concerns.
Experience using HRIS and leave management systems to track leave and maintain compliance.
Excellent verbal and written communication skills to provide guidance and updates to employees, managers, and HR teams on leave policies and procedures.

Preferred Requirements:
Experience supporting third-party leave administrator implementation or vendor transitions.
Experience providing Tier 2 benefits support within a shared services or PSC environment.
Multi-state leave administration experience.
