Legal Administrative Assistant

Hirschler, a dynamic and multispecialty mid-sized law firm, is seeking an experienced Legal Administrative Assistant (LAA) to join our team. This full-time, in-office position, based in our Richmond office, will provide comprehensive administrative support to attorneys and paralegals.

The ideal candidate will have at least 2 years of legal-specific administrative support experience. Preferred candidates will have experience supporting a litigation practice.

As an LAA at Hirschler, you will assist attorneys and paralegals with tasks including document management, file opening and closing, calendaring, time entry/billing, meeting/conference scheduling, travel arrangements, and other special projects as needed. We seek a candidate who embodies Hirschler’s commitment to exceptional client service and is eager to be an integral part of our busy practice.

Responsibilities

  • Prepare, edit, and format legal documents, pleadings, discovery, and correspondence.
  • Manage attorney calendars, including court deadlines, hearings, mediations, and trials.
  • Organize and maintain case files (electronic and paper) in compliance with firm procedures.
  • Coordinate meetings, depositions, and travel arrangements.
  • Assist with time entry, billing support, and expense reimbursements.
  • File documents with state and federal courts.
  • Communicate professionally with clients, courts, and opposing counsel.
  • Assist with other departmental or firm-wide coverage and projects as needed.

Qualifications

  • Minimum 2 years of administrative support experience in a law firm or other professional services environment.
  • Preferred candidates will have litigation-focused administrative support experience.
  • Strong knowledge of legal terminology, court rules, and e-filing procedures.
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, etc.).
  • Excellent organizational skills and ability to manage multiple priorities under deadlines.
  • Strong written and verbal communication skills with attention to detail.
  • A commitment to delivering high quality work.
