Legal Administrative Assistant

Legal Administrative Assistant for Estate Planning Law Practice in Minot, ND

Seeking someone who likes to be challenged, is willing to learn and who has a very precise attention to detail.

Provide administrative support to attorney, including:

  • Serve as the initial point of contact for prospective clients.
  • Maintain a file system that is primarily paperless.
  • Maintain client management database via cloud-based software, Clio.
  • Manage necessary administrative work, such as opening the mail, scheduling clients and maintaining the calendar, ordering office supplies, maintaining office equipment, etc.
  • Coordinate monthly client billing process.
  • Pay bills and complete basic bookkeeping tasks in QuickBooks.

Provide legal assistant support to attorney, including:

  • Prepare first drafts of estate planning and real estate documents, including Wills, powers of attorney, deeds, etc.
  • Provide support to attorney at all stages of the probate process, including tasks such as requesting appraisals, preparing inventories and accountings, preparing routine correspondence, answering client questions about the status of their case, etc.
  • Maintain follow-up systems for client files to ensure deadlines are met and information or material requested from clients or other offices is received and processed in a timely manner.
  • Finalize correspondence, prepare engagement agreements, etc.
  • Proofread documents to ensure accuracy.
  • Return client phone calls on behalf of attorney for routine matters.
  • Record deeds and other legal documents.
  • E-File documents in court system.

Additional Qualifications:

  • Ability to maintain the highest level of confidentiality regarding client information.
  • Very precise attention to detail.
  • Strong follow-through and ability to work independently.
  • Desire to work with and communicate effectively with elderly client base.
  • Extensive knowledge of Microsoft Office and ability to learn new technologies quickly as they are integrated into the law practice.
  • Enjoys a fast-paced environment and seeks challenging projects and opportunities to learn new skills.
  • Willingness to be a “jack-of-all” trades in a very productive, close-knit law firm.
  • Prior administrative experience required and legal experience preferred.

Full-time availability preferred but a flexible schedule may be considered for the right candidate.
