Legal Administrative Assistant – Estate Planning Document Prep

Cara Galbavi Law is an independent law firm focused solely on estate planning. We are seeking a detail-oriented professional to play a critical role in preparing and managing client documents and files. Estate planning requires precision, accuracy, and confidentiality, and this position ensures that every client’s plan is carefully documented and maintained.

Key Responsibilities include:

  • Prepare, format, and proofread estate planning documents, intake forms, and correspondence with extreme attention to detail
  • Manage and organize client files, both digital and physical, ensuring accuracy and confidentiality
  • Track case progress, deadlines, and document status to keep attorney workflow efficient and organized
  • Perform administrative tasks including copying, scanning, and filing
  • Assist with research and document retrieval through online platforms and legal resources
  • Support attorney and staff by ensuring all materials are accurate, complete, and ready for client meetings and signature
  • Balance a high caseload by working efficiently while maintaining accuracy and thoroughness

Key Qualifications include:

  • Expert in MS Word and proficient with MS Office, Adobe Acrobat, and other tools
  • Exceptional attention to detail and accuracy in document preparation
  • Highly organized with the ability to manage multiple deadlines in a fast-paced environment
  • Strong grammar, proofreading, and editing skills
  • Comfortable learning new software, tools, and systems
  • Discreet and professional in handling confidential client information
  • Enjoy working in a small, team-oriented office environment

Experience with or ready to learn:

  • Legal-specific tools including MiBusiness Registry, miFile, ICLE, GIS
  • Notary Public (bond provided by company)
