We have an immediate need for an entry level admin assistant in our Chico, CA office and as a growing firm, handling workers' compensation defense cases throughout the entire State of California, the continued success of our practice depends not only on our attorneys, but on the contributions of each team member.

Summary

We are seeking a detail-oriented and dependable Legal Administrative Assistant to join our team in a full-time, in-office capacity. This is an entry-level position ideal for someone looking to build a career in the legal field and gain hands-on experience in legal administration. The role is primarily clerical and administrative, with a strong focus on data entry and document handling. The ideal candidate will be responsible for scanning and filing incoming mail, managing digital records, and supporting our legal team with key administrative functions.

This role requires comfort and adaptability with a variety of systems, including Microsoft suite / Microsoft 365, MerusCase (case management system) and Foundation AI (document processing platform). Training will be provided, but the ability to learn new tools quickly is essential.

Responsibilities

  • Provide administrative support to attorneys and legal staff
  • Open, scan and electronically file incoming physical and digital mail across multiple platforms, including MerusCase and Foundation AI
  • Maintain orderly digital and physical filing systems
  • Collaborate with team members to maintain efficient office workflows
  • Perform general clerical tasks including copying, emailing, and preparing legal documents
  • Communicate with clients, medical providers, and opposing counsel to facilitate case progression and gather necessary documentation
  • Coordinate the scheduling of depositions, medical appointments and interpreting/court reporting services.
  • Obtain medical reports, subpoenaed records and other evidence to support defenses
  • Maintain case files and manage case calendars to ensure deadlines are met and materials are prepared in advance

Requirements

  • Exceptional organizational skills and attention to detail
  • Ability to work independently and handle repetitive tasks with consistency
  • Comfortable working in a small, fast paced team environment
  • Strong interpersonal skills with the ability to interact with clients and colleagues professionally
  • Eagerness and ability to learn new software systems quickly
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, etc)
  • High school diploma (or equivalent)
  • Professional demeanor and discretion when handling confidential information

Preferred (Not required)

  • Previous experience in an administrative or clerical role
  • Bachelor’s Degree conferred and/or Paralegal Certification
  • Exposure to legal office environments or legal documentation
  • Interest in pursuing a long-term career in the legal field
