Job Summary
The Practice Assistant will provide essential administrative and legal support to attorneys within the Litigation practice. This role is key to ensuring the smooth operation of case management, client communications, and legal documentation. Primary responsibilities include managing attorney schedules, preparing and filing legal documents, and coordinating with clients and courts. The Practice Assistant plays a critical role in supporting the efficiency and effectiveness of the legal team.Key Responsibilities
- Draft, proofread, edit, and format correspondence, memoranda, agreements, and other legal documents under time-sensitive deadlines.
- Prepare and file documents in State and Federal courts in compliance with court requirements.
- Manage case deadlines, including scheduling hearings, depositions, mediations, and other critical dates.
- Open new matters, prepare engagement letters, and process conflict checks within onboarding systems.
- Maintain electronic and paper files according to firm protocols and retention policies.
- Coordinate attorney schedules, appointments, and travel arrangements; set up conference calls and video meetings.
- Submit and track attorney expenses and reimbursements.
- Collaborate with attorneys and business professionals to support casework, client service, and team objectives.
- Liaise with document services for production projects and ensure timely completion.
- Conduct basic legal research and due diligence on companies or individuals, as directed.
- Communicate professionally with clients, opposing counsel, court personnel, and colleagues on behalf of attorneys.
- Stay up to date on practice-specific laws, rules, and procedures.
- Perform other duties as assigned.
Minimum Education & Experience Requirements
- High school diploma required; associate’s or bachelor’s degree preferred.
- Minimum of three (3) years’ experience as a legal assistant, preferably in complex or commercial litigation.
- Prior experience with a document management system (e.g., NetDocs) strongly preferred.
- Bilingual fluency in English and Spanish required.
Special Requirements
- Ability to work overtime as needed.
- Strong proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and collaboration tools such as Teams and Zoom.
