Job Summary

The Legal Assistant plays a critical role in supporting the Chief Administrative Officer and General Counsel by providing comprehensive legal and compliance administrative support. This role performs clerical and office duties, prepares legal documents and correspondence requiring knowledge of legal terminology, and supports compliance monitoring and documentation management. In addition, the position manages the flow of work, coordinates priorities, facilitates timely communication among internal and external stakeholders, and assists with legal documentation, compliance tracking, and record management. By implementing structured systems and workflows, managing project logistics, and ensuring adherence to legal and organizational procedures, the Legal Administrative Assistant contributes to overall project and departmental success. Strong collaboration, organizational skills, attention to detail, and discretion are essential for this dynamic role.

Core Duties

1. Legal Document and Contract Support:

  • Monitor deadlines and prepare and file regulatory documents to ensure compliance with local, state, and federal requirements.

  • Maintain legal and organizational records using company-wide systems in accordance with established naming conventions and retention policies.

  • Provide support during the contract lifecycle by tracking agreement statuses from intake to execution, and assisting with execution and filing.

2. Workflow and Process Management: Maintain and optimize internal systems, processes, and templates that support efficient project and legal task execution.

3. Stakeholder Support and Communication: Serve as a point of contact for internal and external stakeholders, coordinating communications and requests between the legal function and other departments to ensure timely follow-up and accurate documentation.

4. Cross-Team Collaboration: Partner with multiple departments, vendors, and legal counsel to align on shared initiatives.

Additional Duties

  • Assist Chief Administrative Officer & General Council by researching information, organizing legal and administrative documents, and preparing initial drafts under supervision.

  • Responsible for maintaining legal calendars and tracking important compliance dates.

  • Guide staff in using approved legal templates and document management systems.

  • Participate in regular legal and departmental meetings to assist with organization and planning.

  • Safeguard confidentiality and integrity in handling all legal and organizational matters.

  • The salary range/band for this position is $22/hr to $29/hr. Most new hires start between $22/hr-25/hr based on experience and internal equity.

Minimum Qualifications

Education:

  • Associate degree or certificate program in paralegal, legal studies, or a related field

Experience:

  • 1-2yrs of legal administrative or compliance-related support.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Experience with document management systems, legal filing, and maintaining confidentiality.

Certifications or Licenses:

  • Notary Public certification required to obtain within 90 days of hire.

Preferred Qualifications

Education:

  • Bachelor’s degree or certificate program in paralegal, legal studies, or a related field

Experience:

  • 3-5 yrs of legal office or administrative experience, including document management and compliance-related support.

  • This position is based in Utah and requires on-site work at our Salt Lake City headquarters a minimum of 3 days per week, with the option to work remotely on the remaining days.
