Overview
We are seeking a highly organized and detail-oriented Legal Assistant to join our dynamic personal injury law firm. The ideal candidate will play a vital role in supporting attorneys by managing case files, drafting legal documents, communicating with clients, and ensuring the smooth operation of day-to-day legal processes. This position requires excellent communication skills, a strong sense of initiative, and the ability to work in a fast-paced environment.
Key Responsibilities:
Client Communication:
- Act as a point of contact for clients regarding case status and updates.
- Request and follow up for IME's, client meetings, medical appointments, and depositions.
- Handle sensitive and confidential information with discretion.
- Prepare HIPPA authorizations.
Case Management:
- Assist with opening and maintaining physical and electronic case files.
- Track deadlines and manage attorney calendars using case management software.
- Coordinate discovery processes including drafting and reviewing interrogatories, subpoenas, and document requests.
Legal Support:
- Draft correspondence, pleadings, settlement demands, and other legal documents as assigned by primary paralegal.
- File documents with courts and administrative agencies (both electronically and physically).
- Assist in preparing trial exhibits, binders, and deposition summaries.
Administrative Duties:
- Answer phones and direct calls to appropriate personnel.
- Perform general administrative tasks such as filing, scanning, and data entry.
Qualifications:
- NYS Personal Injury law experience required.
- Familiarity with state and federal court procedures and filing requirements.
- Proficiency in Microsoft Office Suite and legal case management software (e.g., Smart Advocate, Clio, Needles, or similar).
- Excellent organizational, time management, and communication skills.
- Strong attention to detail and the ability to multitask effectively.
Education:
- Associate’s degree or higher preferred.

Experience:
- Legal administrative: 2 years (Required)
- Plaintiff's personal injury: 1 year (Required)
