Legal ASSISTANT
Full-time position for someone with the proactive, take-ownership attitude that empathetically completes estate planning systems and processes to help individuals and families reach their potential. Yes, we are looking for a unicorn. We Want YOU!
OVERVIEW
1. Be responsible for the printing, physical organization, scanning, and digital saving of client’s estate planning binders and documents.
2. Follow up with clients on a regular basis to help them maintain their estate plans up-to-date and communicate with our team members as needed.
3. Lead in communications with clients with onboarding and manage their relationship with the firm on an on-going basis.

Moreover, these “qualitative” or “soft” aspects of legacies are even more important than the quantitative aspects; financial assets are merely tools that can either help or hinder families to establish positive and constructive multi-generational legacies.

Location
Our main office is in north DTC. Currently, you must live within 20-30 minutes of travel time from the DTC office to be able to assist with a small in-person witnessing responsibility during signing meetings and pick up and drop off documents. The rest of the time, you will be able to work virtually.

This person does not have a need to draw attention to themselves, but they probably will, simply because they enjoy being helpful and have a sense of urgency about scheduling, details, processes, and keeping leaders happy and moving forward. They cannot help themselves; they are always paying attention to the needs of others. They look at what is going on, see the problem that needs fixing, and figures out how to fix it.
They are infectiously positive, which is vastly different than getting excited about shiny objects or chasing squirrels. They are not easily distracted by a constant stream of “new things” but are very focused on seeing what they can do to help people get from where they are to where they want to be.

4) The mindset of an “owner.” We are all “stakeholders,” and no matter how many hours you spend with us, you are as much a part of what we do as anyone. You need to have that mindset – you are an incredibly valuable part of our team and our clients will get to know you and lean on you to help them.
5) The mindset of a self-starter – We are not looking for someone who we must tell what to do, when to show up, and when they can go home. There are no managers at The Rains Law Firm, and none of us “manage” each other. 6) Serve and Support a few leaders in our organization – THIS IS THE MAIN FOCUS OF YOUR ROLE.
a. Estate Planning Portfolios: Another primary responsibility will be to print, prepare, and organize a client’s estate planning portfolio in preparation for signing. After they sign their documents, you will in turn scan the documents, create electronic copies, and coordinate with the clients to return their binder to them.
b. On-going relationships: We remain in contact with our clients after they sign their estate planning documents. Communicating with these clients and helping them maintain their plan is one of the most important tasks that you can do.
c. Client Communications: Our client engagement process includes many communications with the client outside of the meetings to aid in maintaining momentum, gathering information, and answering questions. This is one of your responsibilities and gives you an incredible opportunity to be a major figure in their estate planning journey and build some great relationships.
d. Improving the Firm: We are committed to continual innovation. It is our expectation that you will give 10% of your paid time to participating on committees and conversations to improve the aspects of the firm that energize you and you feel passionate about improving.
7) Systems and Process Mindset – We will give you a system of how to do the various aspects of your job. You need to be able to work with that system, and once you learn it, you will decide how to improve your system. You will not have a manager. We want you to be thinking about how to make things more efficient while still serving our leaders in the best way possible. While you can decide how to improve the system, if other stakeholders have the same responsibilities as you, you will all work together to make a joint decision while informing other stakeholders who are impacted by your decision of your improvement. You need to also be able to effectively communicate the change to the system to others who are impacted by the change so they can adapt as needed.
8) Performing a range of simple to sometimes complex office work – entering contact information; drafting e-mails; working with spreadsheets; tweaking PowerPoint presentations; updating flyers; sending e-newsletters; and changes, improvements, or organization of our content documents.
9) A Results-Based work ethic – We do not watch clocks. We all know what result we need to achieve and focus all our efforts on achieving those results. When we achieve those results, we go home. And no one decides for us when to do that – we are all adults who figure it out based on the required result. However, in your position, we will need you to be available for a sizable portion of our workday, Colorado time (Mountain Time).
10) Pay – will be commensurate with the talents, initiative, and motivation you bring to the position. We will not let pay stand in the way of getting the right person. As per Colorado law, which requires the posting of a range of fees, we plan on the hourly wages for this position to be between $25-30 per hour.
11) Acting as if you own the company – Again, you will not have a manager. You will take initiative and ownership, make decisions with input from your team, think ahead and be proactive (we do not need “reactive”). You will work with others to constantly make things better and deliver better products and services every day
12) Strategic mind for developing and running processes – We are a very process driven company. People are not told what to do; we agree together what result we want and then we want you to figure out what process will work best for you to get that result. We will want you to run existing processes and make them better and figure out when we need a new one – then make it happen.
