We are seeking a detail-oriented and motivated individual to join our team as an entry-level Legal Assistant supporting our patent and trademark practice.
Position Overview:
This is an excellent opportunity for a recent graduate or early-career professional interested in intellectual property law. The Legal Assistant will support attorneys in patent and trademark matters, assist with filings, maintain case records, and help manage deadlines in a fast-paced legal environment.
Key Responsibilities:
- Greet and assist clients and visitors in a professional and welcoming manner
- Answer and direct incoming phone calls and emails
- Manage front desk operations and maintain a clean, organized reception area
- Schedule appointments, meetings, and conference room usage
- Handle incoming and outgoing mail, including courier services
- Assist with document formatting, scanning, filing, and data entry
- Support attorneys and staff with administrative and clerical tasks
- Maintain office supplies and coordinate with vendors as needed
- Maintain and organize electronic and physical IP files and records
- Communicate professionally with clients, foreign associates, and third parties
- Help track deadlines and assist with basic docketing tasks (training provided)
- Prepare, format, and proofread legal documents related to patent and trademark matters (training provided)
Required Qualifications:
- Bachelor’s degree or Associate degree required (Paralegal certificate or coursework in intellectual property is a plus)
- Strong written and verbal communication skills
- Excellent organizational and time management abilities
- High attention to detail and accuracy
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to manage multiple deadlines and prioritize tasks
- Strong interest in intellectual property law (patents and trademarks)
Preferred Skills & Competencies:
- Prior internship, administrative or office experience is preferred.
- Familiarity with USPTO systems (e.g., Patent Center, Assignment Branch, TEAS, TSDR) is a plus
- Basic understanding of patent and trademark processes
- Ability to work independently and as part of a team
- Professional demeanor and strong work ethic
- Willingness to learn and grow within the firm
