Job Description
FLSA Status: Nonexempt
Position Summary
This is a full-time position. The individual in this position performs a variety of administrative functions to assist firm attorneys in meeting client needs, as well as assisting legal team in general office functions. Key skills needed in this professional position include excellent communication and multitasking skills, compassion, a positive and welcoming attitude, and a strong work ethic.
Major Duties and Responsibilities
· Performs clerical duties such as answering phones, scanning, photocopying, and scheduling appointments.
· Opens new life care plan files, matters and client notebooks; opens other new files and matters as needed.
· Reviews, scans, copies, prints and organizes client documents for Life Care Planning team.
· Drafts correspondence from dictated notes from attorneys.
· Enters tasks.
· Supports Life Care Planning team and Care Coordinators; requests client documents from financial institutions, life insurance companies, oil companies, Register of Deeds offices and Appraiser’s offices, as well as other required information.
· Follows up with clients regarding files and necessary documents.
· Assists with re-titling resources for estate planning purposes: Updates charts; prepares funding letters and forms; performs research for forms as needed; performs other follow up as needed.
· Prepares notebook for signings: Scans, copies, and binds executed documents.
· Prepares and/or edits deeds, Trusts, Wills, POAs, Living Wills, and HIPAA releases.
· Communicates with clients on a regular basis via telephone and email.
· Proofreads all correspondence.
· Ensures highest level of client satisfaction by responding in a timely manner to all client calls, questions or inquiries.
· Conducts research as requested by attorney.
· Prepares client satisfaction letters and reports.
· Closes first meetings with clients. Notarizes documents and witness signings.
· Manages and coordinates assigned cases; prepare related case summaries and meeting letters.
· Performs other duties as assigned.
Desired Qualifications, Skills, Abilities and Characteristics
· High school diploma plus 3 to 5 years experience as a secretary, paralegal or administrative assistant. Prior experience working in a law firm or other professional service setting preferred. Prior experience drafting wills and trusts helpful.
· Ability to use modern office equipment
· Knowledge and experience in computer applications, especially Office 365 products and Zoom
· Knowledge and experience with case management software (ActionStep) and Wealth Counsel helpful
· Research skills, including the ability to utilize legal resources effectively.
· Effectively communicates through oral and written means, especially in situations that demand tact, empathy and diplomacy.
· Ability to maintain confidentiality of firm and client information.
· Client service oriented.
· Ability to work independently as well as accepting direction and following instructions.
· Ability to perform several tasks concurrently with ease and professionalism.
· Excellent organizational skills.
· Ability to work well with others.
· Flexible; able to adapt to change.
Working Conditions
Normal office hours are 8:00 a.m. to 5:00 p.m., Monday through Thursday and 8:00 a.m. to 12:00 p.m. Friday. Occasional overtime may be required.
Job Type: Full-time
Pay: $18.00 - $19.00 per hour
