Job Overview
We are seeking a highly organized and detail-oriented Legal Assistant to join our commercial real estate practice. In this role, you will provide comprehensive administrative and transactional support to attorneys handling acquisitions, dispositions, and financings of commercial properties. Your ability to manage documents, track deadlines, and coordinate deal flow will be critical to the successful execution of transactions. This is a fast-paced, deal-driven environment offering the opportunity to develop hands-on experience in sophisticated commercial real estate matters.
Duties
Assist attorneys with transaction management, including organizing deal files, maintaining document management systems (such as iManage or Clio), and tracking key dates and deliverables.
Prepare, format, and proofread transaction documents, including purchase and sale agreements, loan documents, closing statements, leases, estoppels, SNDAs, and related correspondence.
Coordinate due diligence materials, including title reports, surveys, zoning materials, organizational documents, and third-party reports; assist with summarizing and organizing findings.
Manage closing checklists and assist in coordinating closings, including compiling signature packages, tracking execution, and facilitating delivery of closing documents.
Conduct targeted legal and factual research relating to real estate matters, including title issues, UCC filings, entity status, and property-related regulations.
Maintain and update transaction files, client records, and contact databases; assist with data entry and billing support using PCLaw or similar systems.
Coordinate communications with clients, lenders, title companies, brokers, and opposing counsel to ensure smooth transaction flow.
Provide general administrative support, including calendar management, scheduling calls and closings, and handling electronic and physical filings.
Skills
Familiarity with commercial real estate transactions, including acquisitions, sales, leasing, and mortgage financing concepts.
Working knowledge of title, survey, and closing processes; familiarity with UCC filings and basic entity structures is a plus.
Experience with legal research tools (e.g., Westlaw, LexisNexis) and document management systems (e.g., iManage, Clio).
Strong drafting and proofreading skills, with attention to detail in transactional documents.
Excellent organizational skills with the ability to manage multiple transactions and deadlines simultaneously.
Professional communication skills and the ability to coordinate effectively with attorneys, clients, and third parties.
Proficiency in Microsoft Office (Word, Excel, Outlook) and legal billing systems such as PCLaw or similar platforms.
Pay: $24.95 - $32.00 per hour
