Legal Assistant
In-Office Position | Full-Time

We are seeking a highly organized, detail-oriented, and dependable Legal Assistant to support attorneys with a wide range of confidential legal and administrative functions. This position is ideal for someone who thrives in a fast-paced legal environment, has strong writing and organizational skills, and is comfortable managing multiple deadlines and priorities with accuracy and discretion.

Position Summary

The Legal Assistant provides comprehensive legal and administrative support to attorneys, including document preparation, court filings, client communication, scheduling, and case management. The ideal candidate is professional, proactive, highly organized, and able to handle sensitive legal matters with confidentiality and precision.

Key Responsibilities

  • Support day-to-day legal and administrative functions, including:
  • o Drafting routine legal documents such as motions for extension of time, notices, certificates of service, and proposed orderso Preparing shell pleadings, discovery responses, and summary judgment materialso Assembling exhibits, tables of contents, and tables of authorities for briefso Labeling and organizing documents for productiono Entering, retrieving, and managing data in firm databases and case management systems
  • Provide litigation and filing support by:
  • o Filing pleadings and legal documents in state and federal courts, including e-filing systemso Ensuring compliance with court rules, procedures, and formatting requirementso Researching local court rules, procedures, case law, and citation accuracy using online resources
  • Assist with communication and correspondence by:
  • o Composing routine correspondence such as cover letters, acknowledgments, and confirmationso Communicating with clients, opposing counsel, court personnel, and the public as directed by attorneyso Exercising discretion regarding confidential case information
  • Support administrative and office operations by:
  • o Scheduling appointments, maintaining attorney calendars, and docketing deadlineso Coordinating logistics for meetings, conferences, depositions, and travel arrangementso Greeting visitors, preparing conference rooms, and providing reception support when neededo Performing general office tasks including typing, scanning, copying, faxing, and file maintenance
  • Legal and Case Management Responsibilities
  • Support attorneys with case workflow and billing-related tasks, including:
  • o Entering attorney time narratives and assisting with billing procedures as directedo Following up on assignments to ensure completion of tasks and deadlineso Maintaining organized case files and documentation systemso Assisting with client communication coordination and case updates
  • Maintain legal compliance and document accuracy by:
  • o Proofreading legal documents for grammar, formatting, and accuracyo Ensuring proper document formatting and filing standards are meto Learning and applying legal terminology, procedures, and court requirementso Supporting database and records management for case information
  • Other Duties as Assigned
  • Provide additional legal, administrative, and operational support to attorneys and staff as needed to ensure efficient office workflow and case management
  • Assist with special projects, document organization, file audits, and administrative initiatives as assigned
  • Support coverage needs for reception, scheduling, mail handling, and general office coordination during busy periods or staff absences
  • Adapt to changing priorities and deadlines in a fast-paced legal environment while maintaining professionalism and attention to detail
  • Perform other duties and responsibilities as assigned to support the overall needs of the firm and legal team

Required Qualifications

  • High school diploma or GED required; additional training in legal, secretarial, or administrative studies preferred
  • Minimum of 3 years of legal assistant, administrative, or related office experience (or equivalent combination of education and experience)
  • Strong knowledge of office procedures, file management systems, and administrative practices
  • Proficiency with Microsoft Word and general computer applications
  • Ability to type accurately at a minimum of 60 words per minute
  • Strong written and verbal communication skills, including grammar and proofreading
  • Ability to read, interpret, and organize legal documents and correspondence
  • Ability to learn legal terminology, court procedures, and filing requirements

Preferred Experience

  • Experience with:
  • o Legal document preparation and court filings (state and federal)o E-filing systems and litigation supporto Case management databases and legal office softwareo Client communication in a legal or professional services environmento Scheduling, docketing, and calendar management

Physical Demands

This position requires prolonged periods of sitting, computer use, and document handling. The role may occasionally require standing, walking, and lifting or moving items up to 25 pounds. Visual ability for close reading and document review is required.

Working Conditions

This position is performed in a professional office environment and requires regular movement throughout the office, lifting and transporting office materials, and frequent interaction with staff, vendors, and visitors. Some lifting and occasional work at heights may be required when stocking supplies or retrieving materials. The role may require managing multiple clerical and operational tasks simultaneously while maintaining professionalism, responsiveness, and accuracy.
