What You’ll Do:
Provide high-level administrative and paralegal support to the Legal Department, including support to the City’s criminal prosecution. Coordinate criminal proceedings, ensuring that charges, discovery, and case files are managed with precision to meet strict court deadlines. Assist the City Attorney on civil matters, such as document preparation and review, scheduling matters, assisting with office budgets and travel, and other clerical functions. provide high-level administrative and paralegal support to the Legal Department, including support to the City’s criminal prosecution. Receives direction from the City Attorney but may receive direction from another attorney of the City.
General
- Meet performance standards established by supervisor.
- Provides comprehensive administrative and secretarial support to the Legal Department, including meticulous document review, proactive calendar management, and meeting coordination. Key responsibilities also include assisting with budget oversight, processing travel requests, and tracking professional training, certifications, and licenses for department staff.
- Serve as the Terminal Agency Coordinator (TAC) for the Legal Department.
Legal & Case Management
- Processes and distributes discovery requests (e.g., police reports, body-worn camera footage, witness statements) to defense counsel.
- Prepares and files formal criminal charges, motions, and subpoenas via electronic filing systems with the Herriman Justice Court.
- Organizes case files for weekly court calendars to ensure the Prosecutor has access to all evidence and history.
- Collects and organizes evidence and legal documents for attorney review.
- Researches laws, regulations, and legal articles to assist in preparing reports and legal advice.
- Edits and proofreads legal correspondence, pleadings, and contracts.
Administrative Coordination
- Monitors attorney assignments and deadlines, proactively following up on pending or stalled matters.
- Prioritizes attorney emails and responds to inquiries from residents and stakeholders.
- Coordinates with other City departments and external agencies to facilitate projects and legal initiatives.
- Prepares presentations and spreadsheets, takes meeting notes, and ensures audio-video setup for conferences.
- Other assignments as assigned by supervisor.
Who We’re Looking For:
Education:
- High School Diploma or equivalent.
Experience:
- Three years of general office experience, including at least one year working in a law firm or legal department.
OR
- An equivalent combination of education and experience.
Additional Requirements:
- Must be at least 18 years old.
- Must possess a valid Utah Driver’s License.
- Must be able to pass a pre-employment drug test, background check, physical and driving record check.
- Able to gain BCI clearance.
- Experience in local government.
- Associate degree in paralegal studies.
- Ability to speak and understand Spanish.
- Basic knowledge of federal, state, and municipal law and legal terminology.
- Ability to communicate effectively both verbally and in writing in English with strong interpersonal communication skills.
- Intermediate level skills in computer operation, Windows, Excel, PowerPoint and Word.
- Working knowledge of administrative procedures and of legal processes associated with the maintenance of public records and documents.
- Ability to exercise independent judgment and to act resourcefully under varying conditions.
- In-person job attendance is required, except for authorized leave. Less than 20% of the essential job duties may be performed regularly from a remote location upon authorization.
- Employee performs in a typical office setting with appropriate climate controls.
- Great mental effort is required daily; moderate mental pressure and fatigue exist during a normal workday due to moderate exposure to deadlines.
- Tasks require a variety of physical activities, not generally involving muscular strain, such as walking, standing, stooping, sitting, reaching, talking, hearing, and seeing.
- Rapid work speed required to perform keyboard operations.
- Common eye, hand, finger, leg, and foot dexterity exists.
- Mental application utilizes memory for details, verbal instructions, emotional stability, discriminating thinking, and some guided problem-solving.
- May be required to lift up to 20 lbs.
