This is a specialized billing and office operations role at the heart of how our firm functions financially. You'll own the client billing and collections process from end to end, ensure our DC office runs smoothly day to day, and work directly with our President & Managing Attorney. Responsibilities:
Billing & Collections (~70%)

Maintain and manage our benchmark billing system in Clio Manage, tracking earned benchmarks submitted weekly by attorneys and legal assistants across all three offices

Compile weekly benchmark reports in Google Sheets for President & Managing Attorney review and approval

Coordinate weekly trust-to-operating account transfers in strict compliance with DC Rules of Professional Conduct

Administer client payment plans — processing monthly card payments on the 5th, 15th, and 25th, and accurately routing each payment to the trust or operating based on real-time case status

Maintain detailed and accurate billing notes in Clio Manage, reflecting payment routing decisions on each matter

Monitor accounts receivable and drive collections follow-up on outstanding balances

Access QuickBooks as needed to print checks
Office Administration (~30%)

Oversee day-to-day operations of the DC office, including vendor management, supply ordering via the firm's Staples account, and ensuring the office is consistently stocked and running smoothly

Manage recurring vendor payments and set up automated billing for firm services, including Pitney Bowes, LexisNexis, RingCentral, and others

Serve as the first line of resolution for vendor issues — escalating to the President & Managing Attorney only when necessary

Serve as an operational resource and point of contact for legal assistants across DC, Rockville, and Fairfax offices
Qualifications:-
1–3 years of experience in a law firm billing, legal administrative, or comparable financial operations role

Clio Manage proficiency strongly preferred — or demonstrated experience with comparable legal practice management software

Experience with legal billing and collections — familiarity with trust accounting, IOLTA compliance, or flat-fee billing models is a strong plus

Google Workspace fluency — Sheets, Docs, Drive, and Calendar are central to how we operate

Familiarity with any of the following is a bonus: QuickBooks, RingCentral, Kenect, or Box

A bachelor's degree or equivalent experience
