About the Firm

Kingsley & Hird is a boutique law firm practicing commercial litigation, corporate counsel, estate planning, and probate. We serve a client base that includes small-to-midsize businesses, venture-backed startups, nonprofit organizations, entrepreneurs, individuals, and families.

We are driven by a commitment to exceptional client outcomes, which begins with prioritizing the health and wellbeing of our own team. By fostering a supportive and balanced environment, we consistently bring our best, most focused selves to every matter. As our practice expands, we are dedicated to providing our team real opportunities for professional growth.

Our workspace reflects these priorities. Our offices are located within Gradient, Tulsa's newest center for innovation. This environment is modern, comfortable, and provides our team with excellent exposure to the local entrepreneurial ecosystem and unique opportunities for enrichment. We are currently seeking a highly organized, detail-oriented, and self-starting Part-Time Legal Assistant or Paralegal to support our attorneys, manage daily firm operations, and collaborate with us in building the systems that will continue to scale our practice.

Position Overview

This role serves as the operational backbone of our two-attorney firm. You will provide traditional legal administration, substantive case support, and hands-on practice management. Daily responsibilities include executing courthouse filings, processing mail, conducting client intakes, drafting correspondence, and developing firm-wide standard operating procedures. Candidates with the demonstrated capability will also take on substantive legal research and drafting. Because we are a growing boutique practice, the ideal candidate will take absolute ownership of both high-level projects and routine administrative tasks.

This position is in-person at our Tulsa office, with flexibility for remote work as tasks allow. You must have reliable personal transportation and be willing to occasionally travel to nearby counties and courthouses.

Key Responsibilities

  • Collaborate with attorneys to build and document firm procedures and form templates.
  • Prepare and format standard correspondence, cover letters, and legal documents.
  • Manage electronic filings in state and federal courts according to rules and deadlines.
  • Maintain calendar systems to track litigation deadlines and case events accurately.
  • Maintain meticulous physical and electronic case files, including client intakes.
  • Oversee incoming and outgoing mail, ensuring digital and physical correspondence is processed timely.
  • Assist with financial administration by tracking expenses, scanning receipts, and entering data.
  • Serve as a professional point of contact for clients and court personnel while maintaining strict confidentiality.
  • Perform occasional field operations, including driving to nearby counties for attorney support, filings, and document retrieval.
  • Screen incoming calls and route inquiries to the appropriate attorney.
  • Conduct legal research and assist in drafting pleadings or transactional documents (commensurate with the candidate's capability and experience).
  • Perform other duties as assigned to support a growing boutique practice.

Qualifications & Skills

  • Strong writing and organizational skills with strict attention to detail, especially when drafting, proofreading, and formatting legal documents and communications.
  • Proactive self-starter who can manage multiple deadlines and take ownership of improving firm processes.
  • High level of proficiency with technology, including the ability to learn new legal practice management and electronic filing systems. Experience with Clio, Google Workspace, Adobe Acrobat, Asana, QuickBooks, and Microsoft Office products is a plus.
  • Professional demeanor and strong interpersonal skills to represent the firm effectively with clients, court staff, and the community.
  • Deep commitment to maintaining professional confidentiality and ethical standards.
  • Valid driver’s license and reliable personal transportation for occasional local travel.
  • Bachelor's degree preferred; experience in a law firm, a paralegal certificate, or current enrollment in law school is a plus, though we are happy to train an exceptional candidate with the right foundational skills.
