Summary: The Legal Assistant plays a key role in supporting attorneys by performing a variety of administrative and legal tasks. This position involves managing case files, drafting documents, conducting research, and handling communication with clients and court personnel. The ideal candidate will have a solid understanding of legal procedures, strong organizational skills, and the ability to manage multiple tasks efficiently in a dynamic legal environment.
Key Responsibilities:
- Draft, review, and edit legal documents such as pleadings, motions, settlements, dictations, briefs, and correspondence for the legal team, external vendors, EAMS system, and board. Ensure documents are accurate and comply with legal standards and procedures (dictations including formatting and sending to clients/parties).
- Organize and maintain case files for assigned attorneys and paralegals, including tracking deadlines, managing evidence, completing tasks within dictations, and coordinating case-related tasks. Ensure that all case information is up-to-date and accessible. Maintain a thorough knowledge of all assigned cases.
- Work on dictations, merging, sending to clients, tagging/labeling, and following instructions.
- Drafting of AME or QME cover letters, medical index, corresponding with doctor offices, etc.
- Requesting medical records from copy services (SDT), updating requests, review of records.
- Conduct legal research to support case preparation, including searching for statutes, regulations, case law, and legal precedents. Summarize findings for attorney review.
- Prepare and e-file legal documents with courts including EAMS, FileNet, DEU, Recon Unit, etc. Documents including C&Rs, DORs, etc.
- Assist in scheduling and coordinating court dates, hearings, and depositions including doctor depositions, PMK depositions, etc.
- Communicate with clients to gather information, provide updates on case status, and schedule meetings. Handle client inquiries professionally and confidentially.
- Perform administrative tasks such as managing calendars, arranging meetings, and handling correspondence. Ensure the smooth operation of the legal office.
- Supporting two attorneys at any given time; coverage of desks.
- Following up on reports, cover letters, etc.
- Direct contact with the client for various documents-must addressed formally.
Qualifications:
- Associate’s degree in Paralegal Studies, Legal Studies, or a related field. A Bachelor’s degree or completion of a paralegal certification program is preferred.
- Minimum of 1-2 years of experience as a legal assistant or in a similar administrative role with WC experience in applicant or defense.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Adobe, MerusCase, SendThisFile, etc.
- Excellent organizational and multitasking abilities.
- Ability to draft and review legal documents with precise accuracy and attention to detail including Petitions.
- Strong knowledge of statutory deadlines including Panel strikes, cover letters, etc.
- Strong interpersonal skills and the ability to work effectively with clients and attorneys.
- Understanding of legal terminology, procedures, and documentation. Familiarity with court filing systems and legal research methods.
Requirements:
- Ability to review and manage legal documents and case files with high accuracy.
- Must handle sensitive information and maintain confidentiality at all times.
- Ability to manage multiple tasks and deadlines efficiently in a fast-paced legal environment.
- Flexibility to adapt to changing priorities and workload demands.
- Competency in using legal office software and technology.
- Minimum billable hours of 10 hours a month are required.
