FULLY REMOTE POSITION. Looking for an experienced litigation legal assistant or paralegal to support plaintiff's litigation practice. The firm handles plaintiff's employment (discrimination and retaliation) cases, class actions, civil rights cases, and commercial litigation. At least one year of litigation experience is required. This position is fully remote. The physical office is in downtown Coral Gables, and you are welcome to come and work in the office if you'd like and join us for a weekly firm lunch, but only if you'd like.

Previous experience with scheduling depositions, meetings, mediations, and hearings in state and federal court is required.

Legal assistant must be able to:

  • Proficiently use Microsoft Outlook, Word, and Adobe.
  • E-file legal documents in Florida’s E-Portal System.
  • Assist in scheduling and preparing documents/exhibits/notices for depositions, hearings, trials and conferences.
  • Draft legal court documents, such as notices, non-technical motions, affidavits and subpoenas.
  • Send out correspondence to parties/non-parties via email, regular mail, or certified mail.
  • Communicate with opposing counsel, judicial assistants, court reporters, clients, etc.
  • Set up Court Call or Zoom for hearings.
  • Handle scheduling and coordinating depositions with opposing counsel, including reserving court reporters, filing notices of hearing, reserving the conference room or circulating the Zoom link to all parties.
  • Competently e-file in state and federal court all court documents, including notices of appearance, motions, responses to motions, complaints, etc.
  • Handle obtaining hearings dates from the Court, whether by CourtMap or other website or by calling the presiding judge's chambers to request hearing dates, coordinate the proposed dates with opposing counsel, file notices of hearing, and obtain a court reporter for each hearing.
  • Initiate a case in a variety of counties in Florida, including reading the local rules or administrative order for particular requirements, obtain a summons, and oversee service of the complaint or obtaining a waiver of service from the defendant.
  • Calendar deadlines for all cases in litigation.
  • Answer telephone calls and take detailed messages.
  • Conduct brief intake calls with prospective clients and assist them in filling out the intake questionnaire, if necessary.

The work must be performed during normal business hours, but the hours may vary each day as long as a set schedule is in place. Looking for 20-40 hours per week.
