Legal Assistant/Paralegal/Receptionist

Overview
Solo practitioner with 34 years experience looking for an Office Manager, Legal Assistant, Paralegal, and Receptionist, where your energy and organizational skills will drive the success of our legal operations. This multifaceted role offers an exciting opportunity to support a wide range of legal practice areas, including estate planning, real estate, and more. You will be the first point of contact for clients and visitors while also managing critical legal documentation and case management tasks. Your proactive approach and attention to detail will ensure our office runs smoothly and efficiently, providing essential administrative support to attorneys and clients alike.

Responsibilities

  • Primary responsibility will be to "keep the home fires burning" while a busy attorney attends to multiple businesses.
  • Greet visitors professionally and handle all incoming calls with excellent phone etiquette, directing inquiries appropriately.
  • Manage legal documents through drafting, proofreading, transcription, review, and proper filing within document management systems.
  • Quickbooks experience preferred to assist with bookkeeping and billing.
  • Legal administrative tasks including data entry, filing, document review, and maintaining organized case files.
  • Conduct client interviews and gather relevant information for estate planning, family law cases, or other legal matters to facilitate case development.
  • Prepare contracts, legal correspondence, pleadings, and other documents with precision and clarity.
  • Coordinate project management activities related to ongoing litigation or transactional work ensuring deadlines are met efficiently.
  • Maintain confidentiality while handling sensitive information related to securities law filings, tribal regulations, workers' compensation claims, personal injury cases, or immigration proceedings.

Experience

  • No legal experience necessary, but I prefer proven paralegal experience or legal administrative experience in a fast-paced law office environment.
  • Familiarity with a broad spectrum of practice areas including estate planning, environmental law, immigration law, family law, securities law, tribal law & regulations, patent law, workers' compensation law, personal injury law, landlord-tenant law, litigation procedures and document review processes.
  • Experience with legal case management.
  • Demonstrated ability to handle multiple priorities with excellent organizational skills and attention to detail.
  • Effective communication skills for interviewing clients and collaborating with team members across various projects.
  • Proficiency in document drafting and proofreading combined with strong writing skills for preparing clear client communications and legal documents.
