Position Summary
The Legal Billing Specialist is responsible for managing all aspects of complex litigation timekeeping and expense reporting for assigned attorneys and cases. This role requires a high level of accuracy, strong attention to detail, and the ability to meet strict deadlines while ensuring compliance with court orders, billing guidelines, and firm standards. The Legal Billing Specialist works closely with attorneys, paralegals, and accounting staff to ensure accurate and timely submission of billing and expense reports.
Key Responsibilities
Timekeeping & Billing Compliance
- Manage complex litigation timekeeping and expense reporting in accordance with court orders and case-specific billing requirements
- Audit time entries for accuracy, appropriate task codes, block billing, and correct dates and descriptions
- Communicate with attorneys and timekeepers regarding corrections, updates, or clarification of time entries
- Maintain detailed billing instructions for each case within the timekeeping system
Expense Tracking & Reporting
- Track and verify case-related expenses, ensuring all invoices and supporting documentation are accurate and complete
- Prepare detailed expense reports in compliance with court requirements
Reporting & Submissions
- Prepare pre-bill and draft time and expense reports for attorney review
- Meet with lead attorneys to review billing reports and incorporate edits as directed
- Prepare and submit final time and expense detail reports in the required format and timeline, including exporting and formatting reports for court-approved templates
- Ensure all submissions comply with applicable court orders and reporting standards
- System & Data Management
- Activate and maintain cases, timekeepers, billing rates, and litigation task codes in the timekeeping system
- Update rates, task codes, and billing structures as required by court order or firm direction
- Perform data entry for time billed by the Managing Partner
- Collaboration & Special Projects
- Work closely with attorneys and paralegals to ensure billing accuracy and compliance
- Assist with special billing projects, audits, rate updates, and customized reports as needed
Qualifications & Skills
- Experience with legal time tracking and billing software such as TimeSolv, SmartAdvocate
- Proficiency in Microsoft Excel, Word, and Adobe
- Strong attention to detail with exceptional accuracy
- Rigorous proofreading and quality-control skills
- Ability to manage multiple deadlines in a fast-paced environment
- Strong communication skills with attorneys and legal staff
- Knowledge of complex litigation, litigation terminology, and court-ordered billing requirements
- Familiarity with litigation task codes
- Ability to maintain strict confidentiality and professionalism at all time
Preferred Experience
- Prior experience supporting complex or multi-district litigation
- Experience preparing court-ordered common benefit or similar detailed billing submissions
Pay: $25.00 - $35.00 per hour
