Legal Billing Specialist

Job Overview

We are a small, friendly, civil litigation law firm located in the City of Concord in the East Bay of San Francisco. We seek an experienced, mature and detail-oriented individual to fill our position of Legal Billing Specialist. This role offers an exciting opportunity to have direct contact with our firm's clients and to manage our firm's core billing, collections and accounting functions. The Legal Billing Specialist is responsible for two critical functions: (1) Ensuring the firm’s revenue stream by reviewing time and expense entries, preparing and sending invoices, and managing client payments, and (2) Ensuring that our firm’s financial records are accurate and maintained in compliance with GAAP (Generally Accepted Accounting Principles), and the mandates of State Bar of California. This position is critical to our firm's financial health.

The ideal candidate will have a solid, verifiable history of successfully using Xero and Clio in a law firm environment. The successful candidate will work collaboratively with our senior attorneys to identify growth opportunities and plan for future firm expansion. Responsibilities and Duties

This position requires strong attention to detail, discretion with confidential information, and the ability to communicate professionally with both team members and with clients regarding billing matters. Under the general supervision of the principal attorney, the Legal Billing Specialist will be responsible for the following duties:

· Review and process attorney and staff time entries to ensure accuracy and completeness.

· Enter and track client expenses in Clio and Xero.

· Organize and issue bi-monthly client billings to ensure a reliable and steady flow of revenue for the firm.

· Ensure firm’s invoices are collected timely.

· Perform comprehensive bookkeeping duties including data entry, journal entries, and double-entry bookkeeping to ensure accurate financial records.

· Reconcile accounts such as the client trust account, the company's operating account and general ledger, credit card accounts, accounts payable, accounts receivable, and balance sheets.

· Reconcile and maintain client trust accounts in accordance with the requirements of the firm and the State Bar of California.

· Manage the firm’s payroll and benefits through Gusto.

· Conduct financial analysis including account analysis, budget monitoring, credit analysis, and account reconciliation to support decision-making.

· Prepare financial statements in accordance with GAAP

· Implement and maintain internal controls and compliance measures

· Perform month-end closing activities including journal entries, ledger review, and balance sheet reconciliation.

· Assist with financial reporting, engagement agreements and budgeting tasks as needed

· Correspond with the firm’s CPA and IT administrator.

Requirements

· High school diploma or GED required

· Proficiency with Xero and Clio billing platforms is essential. This must be shown on your resume.

· Solid understanding of financial concepts including debits & credits, journal entries, general ledger reconciliation and account analysis.

· Excellent math skills combined with a strong attention to detail for account reconciliation and balance sheet review and the ability to perform detailed data entry with high accuracy.

· Proven experience in accounting or bookkeeping roles in the context of law firms.

· Familiarity with GAAP standards and client trust accounting ("IOLTA") requirements and procedures as set out by the State Bar of California.

· Familiarity with Gusto payroll is a plus.

· Strong organizational skills with the ability to prioritize tasks effectively in a fast-moving environment.

· Ability to effectively and professionally communicate with team members and clients while exercising discretion with confidential information,

Pay: $25.00 - $32.00 per hour
