Role Overview

CP Pumps & Systems FZE is seeking a detail-oriented Legal & Contracts Administration Assistant to support contract documentation, commercial record management, and administrative operations.

This role provides exposure to commercial contracts, tender documentation, and international project documentation within an engineering and manufacturing environment.

The position is ideal for candidates with a law or legal studies background who want to gain practical experience in commercial contracts and contract administration.

Key ResponsibilitiesContract & Legal Documentation

  • Maintain organized records of customer contracts, purchase orders, supplier agreements, and NDAs.
  • Assist in reviewing contracts to ensure documentation completeness and compliance with company requirements.
  • Maintain a contract register tracking key commercial terms such as payment milestones, contract value, and expiry dates.
  • Prepare contract summaries and key commercial term sheets for internal reference.
  • Organize contract amendments and ensure updated versions are properly archived.

Tender & Commercial Documentation

  • Assist in compiling commercial documentation for tenders and project submissions.
  • Maintain organized records of project documentation and contract deliverables.
  • Support preparation of document packages required for bank guarantees, letters of credit, and commercial submissions.

Administrative Support

  • Maintain company document management and filing systems.
  • Assist management with administrative reports and documentation.
  • Coordinate documentation between sales, finance, and operations teams.

Qualifications

  • Bachelor’s degree in Law, Legal Studies, Pre-Law, Business Law, or similar field.
  • 1–3 years experience in legal assistant, contract administration, or documentation roles.

Skills & Competencies

  • Strong attention to detail and document accuracy.
  • Basic understanding of commercial contracts and legal documentation.
  • Strong organizational and document control skills.
  • Good communication and coordination skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).

Preferred Experience

  • Exposure to commercial contracts, engineering projects, procurement contracts, or tender documentation.
  • Experience working with ERP systems (NetSuite or similar) is an advantage.
