Legal & Editorial Operations Specialist

Position Overview

The Legal & Editorial Operations Specialist is responsible for managing bankruptcy files, court reports, legal notices, trustee sales, tax liens, and editorial layout for publication. This role requires strong attention to detail, accuracy in data entry and reporting, and the ability to work within multiple software platforms to ensure timely publication and compliance. The position also includes financial recordkeeping, invoice management, and preparing materials for both print and digital distribution.

Key Responsibilities

  • Data & File Management
  • Pull, process, and manage bankruptcy files using PACER.
  • Create and maintain client data files through Quickbase, Access, and cPanel.
  • Import, combine, and archive legal, tax lien, trustee sale, and other court data files.
  • Maintain searchable databases and run weekly/monthly comparison reports.
  • Editorial & Layout Production
  • Prepare, proof, and lay out legal notices, classifieds, and display ads using InDesign and AdManager.
  • Coordinate weekly paper editorial content; ensure deadlines are met (paper by Tuesday noon).
  • Process and post court summaries, stories, and trustee sales for both print and online platforms.
  • Website & Online Administration
  • Upload weekly papers, trustee sale lists, and legal notices to cPanel, utahlegals.com, and other platforms.
  • Ensure accuracy of online postings and update searchable databases.
  • Financial & Administrative Duties
  • Enter and reconcile invoices in QuickBooks.
  • Process payments and prepare deposits for Bank of America.
  • Manage affidavits, proofs, and invoices, including editing, scanning, and filing.
  • Pay vendor bills and ensure proper financial documentation.
  • Client & External Communication
  • Email data files, case counts, and reports to clients.
  • Coordinate with courts, law firms, and external vendors for proofs and affidavits.
  • Deliver papers and proofs to designated organizations when required.

Qualifications

  • Bachelor’s degree in Business Administration, Communications, Legal Studies, or related field (preferred).
  • 2+ years of experience in legal publishing, editorial production, or administrative support (preferred).
  • Proficiency in industry-standard platforms:
  • PACER, Quickbase, Access, InDesign, AdManager, QuickBooks, cPanel, UtahLegals.com.
  • Strong organizational skills with the ability to manage recurring weekly deadlines.
  • Excellent written communication and proofreading skills.
  • Accuracy and attention to detail in handling financial records, legal notices, and client communications.

Requirements

  • Ability to work independently while managing multiple tasks.
  • Reliable transportation for occasional document delivery (proofs, papers, bank deposits).
  • Strong problem-solving skills and adaptability to changing priorities.
  • Comfort with working in both legal and editorial environments.
  • Notary certification (or willingness to obtain).
  • Familiarity with online court and recorder’s office databases.

Job Types: Full-time, Temporary

Pay: $20.00 - $25.00 per hour

Expected hours: 40 – 50 per week
