The Moorman Law Firm, founded by Nicole E. Moorman, Esq., is a criminal defense and personal injury firm dedicated to justice, integrity, and relentless advocacy. Nicole Moorman has a strong background in criminal justice: she previously worked as a felony probation officer and specialized task force agent; she holds a J.D. from Emory University School of Law; and she is admitted to over 30 State courts, appellate courts, and U.S. District Courts in the Northern and Middle Districts of Georgia.

Her practice handles a wide spectrum of cases: traffic violations to federal felony matters, post‐conviction work, personal injury, trucking & auto accidents, premises liability, and other civil and criminal matters.

Position Summary

We are seeking a highly capable Legal Executive Assistant to provide robust support to Nicole Moorman and the legal team. This person will be central to case preparation, client/service intake, court communications, document management, and administrative tasks. The ideal candidate is professional, resourceful, and knowledgeable in both criminal and civil law processes and specialized tools.

Key Duties & Responsibilities

  • Manage case intake process: speak with prospective clients, gather information, perform jurisdictional and case‐type research
  • Maintain and organize case files, both paper and electronic; ensure consistent scanning, labeling, and storage of all documents
  • Use CLIO (case management), PACER, PeachCourt (or equivalent state e‐filing / court portal systems), and other tools to file court documents, monitor deadlines, retrieve filings, and track case status
  • Conduct case lookups and monitor relevant jurisdictions (state, federal) to check filings, court appearances, dockets, orders, motions, etc.
  • Coordinate with courts, opposing counsel, prosecutors, and clients: scheduling hearings, submitting proposed orders, responding to requests, arranging delivery of documents
  • Assist in trial and motion preparation, including compiling evidence, exhibits, affidavits, witness information, transcripts, etc.
  • Take accurate notes during meetings, phone calls, interviews, depositions, and hearings; prepare memos or summaries for attorney
  • Manage calendar for the attorney: court dates, client meetings, deadlines, travel, events
  • Arrange travel, lodging, and logistics for court appearances, conferences, depositions, etc.
  • Handle administrative tasks: answering phones, greeting clients, managing mail, scanning, copying, filing, ordering office supplies
  • Responsible for cash handling, client payments, invoicing, and reconciliation as needed
  • Run errands or tasks requiring reliable transportation
  • Assist with event planning and firm functions as needed
  • Demonstrate problem‐solving skills; anticipate attorney’s needs; manage priorities under pressure
  • Maintain professionalism, confidentiality, a positive attitude, and high ethical standards

Qualifications

  • Minimum 5 years experience as a legal assistant / executive assistant in a legal environment; criminal defense, personal injury, or federal case exposure strongly preferred
  • Proven knowledge and hands‐on experience with CLIO, PACER, state e-filing systems (PeachCourt or equivalent), electronic filing, scanning, digital document management
  • Strong writing, proofreading, and communication skills
  • Excellent organizational skills, attention to detail, ability to juggle multiple high‐priority tasks with tight deadlines
  • Demonstrated ability to interact with clients compassionately yet professionally; ability to communicate with courts and legal professionals clearly and confidently
  • Capacity to work independently, with initiative, and with minimal supervision
  • Reliable transportation for errands, court filings, document delivery, or traveling to out‐of‐town or remote hearings if required
