Role summary
Own the front end of the client journey from first contact through engagement. Conduct professional, consultative intake and sales conversations; assess fit; recommend appropriate probate and estate planning services; secure engagement when warranted; and ensure accurate onboarding and handoff to the legal team. This role is sales-driven, but grounded in sound judgment, discretion, and genuine care for clients.
Responsibilities
Intake & consultation
- Respond promptly to inbound calls, emails, and inquiries; document all contacts accurately in the CRM.
- Conduct structured intake conversations to understand parties, timelines, assets, goals, urgency, and court status.
- Listen carefully and ask thoughtful questions to identify what services genuinely serve the client’s situation.
- Clearly explain probate and estate planning options, process, scope, and fees.
Sales & conversion
- Lead consultative sales conversations with pre-qualified potential clients.
- Confidently recommend appropriate services and ask for the engagement when the Firm is the right fit.
- Handle questions and objections professionally, without pressure or overselling.
- Secure retainers or flat-fee payments and initiate onboarding.
Onboarding & handoff
- Complete accurate intake and onboarding checklists following engagement.
- Verify required information and documents before handoff.
- Provide a clear, organized handoff to attorneys and paralegals so matters begin smoothly.
- Follow up after handoff to confirm a positive client experience.
Pipeline & reporting
- Maintain clean CRM stages, notes, and follow-up cadences.
- Track consultation outcomes, conversion rates, and onboarding accuracy.
- Participate in regular check-ins regarding performance metrics and process improvement.
Minimum qualifications
- 2+ years of experience in consultative sales, intake, or client-facing roles in legal, professional, or services-based environments.
- Strong phone presence with excellent listening, discovery, and note-taking skills.
- Ability to discuss fees and secure engagement professionally and confidently.
- High attention to detail and accuracy in data entry and documentation.
- Comfort working with clients in emotionally charged or stressful situations.
- Proficiency with Microsoft 365 (Word, Outlook, Excel) and CRM systems.
- Organized, reliable follow-through; able to manage multiple leads without dropping details.
Preferred
- Law-office intake experience, particularly in probate or estate planning.
- Experience onboarding clients and coordinating handoffs to legal teams.
- Familiarity with legal CRM or case management software.
- Professional maturity and discretion when handling sensitive family and financial matters.
Job Type: Full-time
Pay: $50,000.00 - $60,000.00 per year
